About the Role

A growing outdoor-living construction company is hiring a full-time Virtual Production Coordinator to help move sold projects from sales handoff to production-ready.

This is not a generic VA role and not a field Project Manager role. You will support the Project Manager by organizing scopes, estimates, plans, selections, photos, permits, material orders, work orders, vendor documents, and project folders so each sold job is ready before scheduling.

Pay / schedule: full time, 40 hours per week, paid weekly.

Note: All applicants must include a short intro video (60 seconds to 2 minutes). Read instructions below.

WHAT YOU WILL DO

Review sold project information: contracts, estimates, plans, selections, photos, and notes.
Identify missing information or decisions that could delay production.
Prepare work orders and subcontractor scope documents from approved project information.
Prepare material takeoffs, material order forms, purchase orders, and vendor documentation as directed.
Prepare and submit permit applications as authorized; track approvals, inspections, and municipal requirements.
Organize project documents and keep production folders/status updated.
Follow up with the Project Manager, suppliers, subcontractors, or local offices when information is missing.
Help confirm whether each project is truly production-ready before it is scheduled.

STRONG FIT

Construction admin, project coordination, estimating, purchasing, permitting, remodeling, outdoor living, exteriors, landscaping/hardscapes, or similar experience.
Able to read scopes, estimates, plans, specifications, and project documents.
Very organized, detail-oriented, persistent with follow-up, and clear in written English.
Comfortable with spreadsheets, PDFs, online forms, project-management software, construction software, vendor portals, and permitting websites.

ROLE BOUNDARY

The Project Manager owns field execution and project decisions. This role owns administrative readiness: documents, work orders, procurement support, permits, follow-up, and completeness. You will not be responsible for unsupervised engineering, code interpretation, contractor licensing, or field construction decisions.

TO APPLY

Put READY in the first line of your application.

Then answer:

1. What construction, remodeling, project coordination, purchasing, estimating, or permitting experience do you have?
2. What software/tools have you used for project coordination, spreadsheets, PDFs, vendor portals, permits, or construction management?
3. Have you prepared work orders, material orders, purchase orders, permit applications, or project handoff documents before? Briefly explain.
4. How would you organize the handoff of a newly sold construction project from Sales to Production? Include scope review, missing information, work orders, materials, permits, procurement, and a production-ready check.
5. Are you okay with working around US EST hours, and what's your earliest start date?

6. Required intro video (60 seconds to 2 minutes): Record a short video introducing yourself and explaining your qualifications and why you believe you're a strong fit for this position. Include a link to the video (Loom, Google Drive, etc.) in your application, and make sure the link is viewable without requesting access. Applications without a video will not be considered.
