Project & Administrative Assistant

We are looking for someone who does more than complete assigned tasks.

We are looking for a responsive, resourceful, and highly organized Project & Administrative Assistant who can work directly with the Founder, support multiple areas of the business, and think beyond what is immediately in front of them.

This role is ideal for someone who naturally asks, “What needs to happen next?”

As you learn the business, we want you to become an extension of the Founder—someone who keeps track of moving pieces, notices what may be missing, follows through, and helps us stay a few steps ahead.

About NSM Consulting Group

NSM Consulting Group is a Washington, DC-based event production and consulting company. We support organizations through the planning and execution of events, programs, trainings, and special projects.

We are a growing small business, which means our needs can change from week to week. We value excellent work, strong communication, resourcefulness, flexibility, and people who take ownership of what they do.

Position Overview

The Project & Administrative Assistant will provide ongoing administrative, project, and event support to the Founder and NSM Consulting Group.

This is a flexible role. You may organize project files, maintain trackers, prepare invoices, conduct research, proofread client materials, prepare meeting resources, or help support a virtual event.

You will receive direction and training, but you will not always receive step-by-step instructions for every assignment. We need someone who can understand the desired outcome, use available resources, think through what may be needed, and ask thoughtful questions when necessary.

As the role develops, responsibilities may evolve based on the needs of the company.

Key Responsibilities

Organize and maintain digital files, folders, documents, and company records.

Maintain project trackers, task lists, deadlines, and follow-up items.

Prepare invoices, receipts, and basic administrative documentation.

Format, proofread, and review email s, presentations, documents, and client-facing materials.

Conduct research and summarize findings clearly.

Prepare materials and resources for meetings, client projects, and events.

Support virtual events, webinars, trainings, and meetings as needed.

Assist with attendee communications, registration lists, surveys, links, presentations, and other event logistics.

Track meeting notes, decisions, action items, and outstanding information.

Follow up on open items without waiting to be reminded.

Identify missing information, potential issues, or next steps and bring them forward proactively.

Help improve templates, systems, processes, and organization.

Learn and use new platforms or technology as business needs evolve.

Provide general project and administrative support as needed.

Required Qualifications

Previous experience providing administrative, project, executive, program, event, or similar professional support.

Strong experience using Google Workspace, including Google Drive, Docs, Sheets, Calendar, Gmail, and Meet.

Excellent written and verbal English communication skills.

Strong organizational and time-management skills.

Excellent attention to detail.

Ability to manage multiple assignments and deadlines.

Ability to work independently and take initiative.

Strong critical-thinking and problem-solving skills.

Ability to research and learn unfamiliar tasks, tools, or processes.

Ability to receive constructive feedback and apply it to future work.

Reliable access to a computer and stable internet connection.

Ability to protect confidential company and client information.

Preferred Qualifications

Experience supporting a founder, executive, entrepreneur, or small business.

Experience with project coordination or event support.

Experience supporting virtual events, webinars, or online trainings.

Experience with Canva.

Experience with invoicing, expense documentation, or basic business administration.

Experience with project-management platforms.

Experience working successfully with a remote team.

Experience working across multiple projects or clients simultaneously.

Specific software experience beyond Google Workspace is helpful but not required. The platforms we use may evolve, and the right person must be comfortable learning and adapting to new technology.

What Success Looks Like

You will be successful in this role when:

Assigned work is completed accurately and on time.

The Founder does not have to repeatedly follow up on assigned responsibilities.

Files, project information, and documentation remain organized.

Deadlines and open items are actively tracked.

Details are reviewed before work is considered complete.

Questions and potential problems are communicated early.

You make a reasonable effort to research and solve problems before immediately escalating them.

Feedback is reflected in your future work.

You begin anticipating reasonable next steps as you become familiar with the business.

You recognize when something may have been overlooked and bring it to the Founder's attention.

The Founder can trust that when something is assigned to you, it will either be handled or proactively communicated about.

You May Be a Strong Fit If You

Naturally think a few steps ahead.

Notice details other people may overlook.

Take ownership of your work from beginning to end.

Follow through on what you say you will do.

Are comfortable figuring things out when you do not immediately know the answer.

Know how to research, troubleshoot, and use available resources.

Ask thoughtful questions rather than waiting for every step to be provided.

Communicate proactively instead of disappearing when something becomes difficult.

Can balance flexibility with organization.

Receive direct feedback without becoming defensive.

Apply what you learn so the same correction does not have to be given repeatedly.

Take pride in doing excellent work even when no one is watching.

Most importantly, you are interested in becoming an extension of the Founder.

As you learn the business, we want you to recognize not only what you were asked to do, but also what may need to happen next.

Please Do Not Apply If You

Need repeated reminders to complete routine responsibilities.

Need detailed step-by-step instructions for every assignment.

Struggle to meet deadlines or communicate when something changes.

Regularly overlook details in documents, email s, dates, links, or instructions.

Stop when you encounter something you do not know how to do.

Are uncomfortable researching or learning independently.

Prefer to complete only the exact task assigned without considering obvious next steps.

Have difficulty managing changing priorities.

Are unwilling to accept constructive feedback or take ownership of mistakes.

Are looking for a role where the responsibilities will remain exactly the same.

Hours & Compensation

This is a part-time remote position starting at approximately 10 hours per week, with the potential to grow to approximately 20 hours per week as the role and business grow.

Starting Rate: $5.00–$7.50 USD per hour, depending on experience.

Some work can be completed on a flexible schedule. However, meetings, client needs, deadlines, and virtual events may require availability during specified U.S. Eastern Time hours.

The selected candidate will begin with a 30-day paid trial period. Successful completion of the trial period may lead to continuation in the ongoing part-time role.
