Xero Bookkeeper / Finance Operations Specialist

Australian Client | Remote | Full-Time
Rate: $10 USD/hour to start.

We are looking for a highly capable Xero Bookkeeper / Finance Operations Specialist to join an Australian business on a full-time basis.

We are looking for someone who has hands-on experience working with Australian businesses, is highly organised, detail-oriented, proactive, and has a positive, reliable attitude.

The ideal candidate doesn’t simply process transactions. They understand the numbers, question discrepancies, take ownership of their work, and look for faster and better ways to complete tasks.

What You’ll Be Responsible For

Xero & Bookkeeping

• Xero bookkeeping and bank reconciliations
• Accounts payable and accounts receivable
• Supplier payments and outstanding invoices
• Monthly reconciliations
• Month-end reporting
• Maintaining accurate financial records
• Organising receipts, invoices and supporting documents

Invoice Verification & Accounts Payable

A major part of this role will be making sure invoices are correct before payment.

You will be expected to:

• Check supplier invoices against agreed pricing
• Verify freight and warehouse invoices
• Identify incorrect charges and duplicate invoices
• Investigate discrepancies
• Follow up with suppliers when something doesn’t look right
• Ensure invoices are properly supported before payment

We want someone who questions numbers rather than simply processing whatever comes into the inbox.

Inventory & COGS

• Stock reconciliation
• Reconciling inventory between Shopify, Xero and warehouse records
• Checking COGS
• Reviewing landed costs
• Identifying discrepancies between physical stock and accounting records
• Monitoring inventory-related financial movements

Payroll & Australian Compliance

• Payroll processing
• Superannuation
• GST reconciliation
• BAS preparation and supporting documentation
• Working with the business accountant
• Preparing reports and financial information required for BAS and compliance purposes

Financial Reporting

• Monthly P&L reporting
• Cash-flow reporting
• Basic cash-flow forecasting
• Monitoring upcoming supplier payments and commitments
• Flagging unusual expenses or financial movements
• Helping management understand where money is being spent

Systems & Process Improvement

This is not a role where you simply reconcile Xero and finish for the day.

We want someone who can help improve the way the finance function operates.

You will be expected to:

• Create and maintain finance SOPs
• Document processes clearly
• Identify repetitive manual tasks
• Find opportunities for automation
• Use AI and technology to improve workflows
• Improve how information moves between Shopify, Xero, suppliers and the team
• Reduce errors and save time
• Build better systems instead of relying on inefficient manual processes

The Ideal Candidate

You will be a strong fit if you:

• Have hands-on Australian bookkeeping experience
• Have strong experience using Xero
• Understand Australian GST and BAS processes
• Have experience with Australian suppliers and businesses
• Have experience with payroll and superannuation
• Are extremely detail-oriented

• Needs to be told what to check
• Ignores discrepancies
• Is uncomfortable with technology
• Refuses to adapt to new systems
• Prefers manual processes simply because “that’s how it has always been done”
• Requires constant supervision
• Has a negative or difficult attitude toward feedback and process changes

AI & Technology

We are particularly interested in someone who is comfortable with AI and automation.

You don’t need to be an AI expert, but you should understand how tools such as ChatGPT and other technology can be used practically to:

• Reduce repetitive work
• Improve accuracy
• Create and maintain SOPs
• Analyse financial information
• Automate workflows
• Improve reporting
• Save time
