Sales Operations Support Coordinator
Confidential employer
About the role
We are looking for a curious, dependable and highly organized Sales Operations Support Coordinator to help keep our sales team running smoothly.
This role combines sales administration, process compliance, product training coordination and recruitment support. You will be trusted to follow tasks through from beginning to end, ask thoughtful questions when something is unclear and ensure that no detail is overlooked.
This position is ideal for someone who takes genuine pride in their work. You should be willing to help wherever reasonably required and understand that both small administrative tasks and larger projects contribute to the success of the team.
As our business evolves, you will also be expected to learn new areas and take ownership of agreed projects and reasonable duties across the wider business. This is a varied role for someone who is adaptable, willing to contribute wherever needed and equally committed to routine responsibilities and larger projects.
Key responsibilities
- Sales processes and compliance
- Conduct regular checks to ensure the sales team follows established standard operating procedures.
- Maintain clear checklists and records of completed compliance checks.
- Identify missing steps, documentation or follow-ups and address them promptly.
- Follow each matter through to completion rather than assuming someone else will finish it.
- Provide concise updates to management on recurring issues and areas requiring attention.
- Suggest practical process improvements when gaps or inefficiencies are identified.
Product training and knowledge base
- Prepare and organize training materials for new products.
- Upload, structure and maintain content in Zoho Learn.
- Keep the company knowledge base accurate, current and easy to navigate.
- Coordinate with internal stakeholders to obtain product files, specifications, images and other required information.
- Ensure relevant team members receive everything needed for product launches and sales training.
- Track outstanding information and follow up until it is received.
- Ask questions and confirm expectations whenever instructions or product information are unclear.
Recruitment support
- Prepare and post sales recruitment advertisements on SEEK and other approved channels.
- Review applications against agreed selection criteria.
- Conduct initial candidate screening by email , phone or video call.
- Maintain accurate candidate records and prepare clear shortlists for management.
- Coordinate interviews and communicate professionally with applicants.
- Handle applicant information responsibly and confidentially.
Daily roster and attendance support
- Prepare and monitor the team’s daily break roster.
- Check arrival times and attendance against agreed schedules.
- Record exceptions accurately and follow the appropriate escalation process.
- Communicate reminders professionally, consistently and fairly.
- Maintain accurate records so information can be easily reviewed when required.
Projects and evolving priorities
- Take ownership of new operational projects and change business priorities as assigned by management.
- Clarify the required outcome, scope, priority, deadline and stakeholders before commencing unfamiliar work.
- Turn instructions into a practical action plan with clear steps, responsibilities and due dates.
- Coordinate with internal team members, suppliers or other stakeholders as required.
- Track actions, dependencies and risks and provide clear progress updates.
- Ask questions and raise potential obstacles early rather than making assumptions or waiting until a deadline is missed.
- Carry projects through from initial instruction to completion, implementation and handover.
- Create or update the relevant SOP, checklist or supporting documentation when a project introduces a repeatable process.
- When project work competes with recurring responsibilities, confirm priorities with the manager so existing duties are not silently delayed or dropped.
General Operations:
- Monitoring operations and reporting on performance.
- Helping implement new workflows, tools and processes.
- Troubleshooting operational issues.
- Coordinating across departments and with external suppliers.
- Analyzing information and preparing useful reports.
- Supporting onboarding and SOP training.
How we expect you to work
We are looking for someone who:
- Is naturally curious and wants to understand the reason behind a task.
- Asks sensible questions when unsure instead of guessing or remaining silent.
- Listens carefully and follows instructions accurately.
- Takes responsibility for tasks from commencement through to completion.
- Pays close attention to details and checks their work before submitting it.
- Is reliable, responsible and consistent—even when working independently.
- Follows established processes rather than creating unnecessary shortcuts.
- Completes all reasonable duties within the role instead of selecting only preferred tasks.
- Approaches small routine tasks with the same care as larger projects.
- Keeps files, trackers, messages and priorities organized.
- Communicates early if a deadline may be missed or assistance is required.
- Creates clear handover notes and ensures essential processes are covered before taking leave.
- Is honest, genuine and trustworthy in their communication and work.
- Accepts feedback positively and applies it to future work.
- Closes the loop by confirming when work has been completed.
Skills and experience
- At least two years’ experience in sales administration, operations support, recruitment coordination or a similar role.
- Excellent written and spoken English.
- Strong attention to detail and follow-through.
- Confidence in politely holding people accountable to agreed processes and deadlines.
- Ability to manage several recurring responsibilities without constant supervision.
- Experience maintaining SOPs, checklists, trackers or knowledge bases.
- Sound judgement when working with confidential recruitment and attendance information.
- Competence with Microsoft Office or Google Workspace.
- Experience coordinating or managing projects from initial brief through to completion.
- Strong analytical, problem-solving and time-management skills.
- Ability to learn unfamiliar systems and processes quickly.
- Ability to work independently while knowing when to ask questions or escalate an issue.
- Experience identifying operational bottlenecks and recommending practical improvements.
- Experience with Zoho Learn, other Zoho applications, SEEK or an Australian business will be highly regarded but is not essential.
