Marketing & Admin Virtual Assistant for Events Company in Australian
Confidential employer
How to apply — mandatory requirements
Three things are required from every applicant. No exceptions.
- A 3-minute Loom video. Introduce yourself and walk through your experience with admin or coordination work and with social media. Please speak naturally and DO NOT read from a script — we're listening for how you communicate, not how polished you sound.
- An updated CV in PDF format.
- Samples of your Canva work — a portfolio PDF, a link, or three to five graphics you've made for a business. Social media posts, promos, menus or event graphics are all fine.
Applications missing any of these will NOT be considered.
Summary
We're a recruitment partner hiring on behalf of an established Australian company that runs large-scale public food and lifestyle events.
They need one person who can do two things well: keep the admin tight, and keep the marketing moving. That means chasing vendors for paperwork and following through until it's done, and also reaching out to influencers, posting to social, and producing clean graphics in Canva. You won't set strategy or creative direction — you'll be the person who makes sure what's been d ---------- actually happens, and happens well.
The business owner is hands-on but busy, and doesn't have time to teach. If you're someone who figures things out, asks the right questions once, and then just gets on with it, this is a good fit.
What you'll be doing
- Admin and vendor follow-up — sending contracts and welcome information to 20–25 vendors per event, collecting their documents, tracking who's outstanding, and chasing until everything is closed off. Nobody should have to check whether you followed up.
- Tracking and reporting — keeping the event tracker current, flagging what's overdue, and sending a short end-of-day summary so nothing depends on anyone's memory.
- Influencer and creator outreach — finding local creators who genuinely fit an event, drafting the approach, confirming attendance, chasing content and saving links. Relevance matters more than follower count.
- Social media — scheduling posts, setting up Facebook Events, keeping bios and pinned content current across Instagram and TikTok.
- Canva graphics — event promos, countdown posts, vendor features, Instagram-ready assets the owner can post without redesigning.
- Email and SMS campaigns — briefing design, scheduling sends, testing links, recording performance.
- Community outreach — researching local businesses, schools, clubs and community pages that could help promote an event, and contacting them.
What we're looking for
- Strong admin and organisation. You follow up relentlessly, politely, and without being asked, and you keep a record of what's been done.
- Comfortable with social media and influencers — you've managed accounts, reached out to creators, or run campaigns for a real business.
- Canva at a solid level. Not just templates — you can produce something a brand would actually post.
- Independent. You can take a loosely defined task, work out what's needed, and deliver it without hand-holding.
- Clear, professional written English — you'll be the main contact for dozens of vendors and creators.
- Comfortable with spreadsheets and task management tools. Experience with Mailchimp, Klaviyo or similar is a bonus.
- Events experience is a plus, not a requirement. Organised marketing or admin work for a small business counts.
Hours
- Full-time, 40 hours per week on Australian Eastern Standard Time.
- Events run Friday to Sunday, so some weekend availability is needed during event weeks.
