About the role
We are looking for a Senior Executive Assistant to be the right hand of the principal of a growing U.S. investment group. You will guard the executive's time and keep their calendar, inbox and priorities under control. You will also keep work moving across several companies and investments.
This is not an entry-level admin role. We want someone who thinks a step ahead and handles confidential matters with discretion. You should be able to run the executive's day with little direction.
Key responsibilities
Executive calendar and time management
- Own the executive's calendar across time zones: schedule, reschedule and protect focus time.
- D ---------- which meetings and requests reach the executive, and redirect or decline the rest.
- Prepare a daily and weekly agenda with briefing notes before each key meeting.
Inbox and communications
- Manage the executive's inbox: triage, draft replies and flag only what needs their attention.
- Act as the first point of contact for partners, investors, vendors and internal teams.
- Draft professional email s, letters, memos and presentations on the executive's behalf.
Meetings and follow-through
- Coordinate meetings, take notes and track action items to completion.
- Follow up with stakeholders so deadlines and commitments are not missed.
Business and investment support
- Organize documents across multiple entities: contracts, leases, closing files and e-signatures.
- Track deadlines for renewals, filings, payments and compliance.
- Support expense tracking, invoice processing and coordination with bookkeepers.
- Research and summarize information for investment and business decisions.
Travel and personal support
- Plan domestic and international travel with complete itineraries.
- Handle selected personal tasks for the executive with full discretion.
Systems and process
- Build and maintain SOPs, trackers and shared folders so nothing lives in one person's head.
- Look for ways to automate repeat tasks with tools the team already uses.

- Excellent written and spoken English (C1 or higher), able to communicate with U.S. investors and partners.
- Strong skills in Google Workspace and Microsoft 365.

- Experience supporting a leader who oversees multiple companies or entities.
- Familiarity with DocuSign, QuickBooks, Expensify or ---------- .
- A bachelor's degree or equivalent professional experience.
- Previous remote work for a U.S.-based company.
