German-Speaking Operations Manager for Web Agency

We are a growing web agency looking for a German-speaking Operations Manager to help manage client requests, delegate work to our internal team, and make sure tasks move forward smoothly.

This is a part-time role for 20-25 hours per week.

You will work closely with our client-facing project manager. She handles most client communication and client context. Your role is to turn requests into clear tasks, assign them to the right team member, follow up daily, and make sure nothing gets missed.

This is not an entry-level VA role. We are looking for someone with at least 5-7 years of experience in management, operations, project coordination, client success, executive assistance, or team leadership.

Responsibilities:

• Understand client requests in German and English
• Turn messy WhatsApp/client messages into clear action items
• Delegate tasks to our team of 4 VAs/designers/developers
• Track deadlines, follow-ups, and project status
• Draft short German client updates when needed
• Ask clear questions when requirements are unclear
• Check that completed work matches the request before it goes back to the client
• Keep our internal task/project system organized
• Hold team members accountable and follow up until tasks are completed

Requirements:

• German is mandatory. Do not apply if you do not speak German.
• Minimum B2 German required, C1 preferred
• Strong English required
• Minimum 5-7 years of management, operations, project coordination, client success, executive assistance, or team leadership experience
• Experience managing remote teams is preferred
• Comfortable using WhatsApp, ClickUp, Trello, Notion, Google Drive, Slack, or similar tools
• Very organized, detail-oriented, and reliable
• Able to push tasks forward without waiting for constant instructions
• Calm under pressure and comfortable handling multiple moving parts

You do not need to speak Turkish. Some clients may write in Turkish, but our client-facing project manager will help clarify those messages.
