Creator Outreach & Operations VA (Part-Time, E-commerce / UGC)
Confidential employer
ChaosWorks is a creative and performance marketing agency working with e-commerce brands. We're looking for a part-time VA to manage the day-to-day work of finding, contacting and coordinating UGC creators across our clients.
You'll report to our Creative Ops Manager, who will give you the briefs, creator requirements, budgets and priorities. You'll do most of the hands-on research, outreach and follow-up, keeping each collaboration moving from first contact to content delivery.
The role starts at 20 hours per week, with the option to grow into a full-time position supporting creator operations and related coordination across the agency as workload grows.
What you'll do
- Research and shortlist creators who fit each brand, brief, audience and budget. Review their previous work and keep our creator database organised.
- Find contact details, send personalised email s and DMs, manage replies and follow up consistently.
- Collect portfolios, rates and availability. Discuss deliverables and terms within the guidelines provided, and get approval before committing spend or changing an agreement.
- Coordinate onboarding, agreements, product shipping and brief delivery. Make sure creators understand what they need to submit and by when.
- Track deadlines, check in with creators and flag delays early. Arrange replacements with the Creative Ops Manager when needed.
- Collect footage, check it against the delivery checklist and organise files for the creative team. Relay feedback and follow up on revisions or missing assets.
- Keep records of creator fees, agreed usage rights, invoices and payment status, and pass payment requests to the team for approval.
- Maintain clear updates on outreach, booked creators, expected deliveries and anything that needs a decision. Build relationships with reliable creators for future projects.
Experience we're looking for
- At least one year of hands-on creator or influencer outreach and coordination experience for an e-commerce brand or an agency serving e-commerce clients. This experience is required.
- Experience taking collaborations beyond the first message: agreeing the details, coordinating briefs and following through until content is delivered.
- Strong written English and confidence communicating professionally with creators.
- Good judgement when reviewing UGC portfolios for product-focused video ads, plus familiarity with deliverables, turnaround times and content usage rights.
- Strong organisation and consistent follow-through across several creators and client projects at once.
- Comfortable with Google Sheets, Google Drive, Slack and project-management tools. We'll show you our internal systems.
- A reliable computer and internet connection.
Hours and pay
- Fully remote, Philippines-based.
- Part-time: 20 hours per week, normally spread across Monday to Friday so creator conversations keep moving.
- US$500 per month for 20 hours per week.
- Daily working hours and overlap with the Creative Ops Manager will be agreed before starting.
- Potential to move full-time, with hours and pay reviewed together based on performance and agency needs.
How to apply
Please use "Creator Operations VA" as your application subject and include:
1. A short summary of your creator-management experience, including the types of e-commerce brands or agencies you've supported and the stages you personally handled.
2. One example of a collaboration you managed from outreach to delivery. Include how you handled a delay, a non-response or a revision request.
3. An anonymised example of an outreach message or creator tracker you've used. Please remove confidential information.
4. Your CV, earliest start date, confirmation that US$500 per month for 20 hours per week works for you, and availability in Philippine time. Let us know whether you'd be open to full-time work later.
Please keep your application specific to your experience with creators. A short, relevant application is plenty.
