About the Role

Stock Controller – 3PL Warehouses (m/f/d)

Remote – Philippines | Full-time | Permanent

#BEcomeMAXX

You are highly precise, comfortable working with numbers, and not satisfied until every stock difference has been explained?

As Stock Controller – 3PL Warehouses, you take ownership of the reconciliation between our external warehouses and SAP Business One. Your goal is simple: every warehouse movement is correctly reflected in our ERP, every discrepancy is identified, and every open case is followed through until it is closed.

Working remotely from the Philippines, you will collaborate closely with our Finance, Planning and Purchasing teams in Germany as well as our external 3PL warehouse partners.

You report directly to the CFO in Germany and play an important role in ensuring reliable inventory data across IronMaxx.

Ready to perform? Your tasks with MAXXimum focus

Daily Stock Control & SAP Booking

  • Collect daily goods receipt and inventory reports from our external 3PL warehouses and compare them with planned deliveries in SAP.
  • Proactively follow up on missing or delayed warehouse reports.
  • Reconcile every purchase order line against the actual warehouse receipt, including item, quantity, batch and best-before date.
  • Post Goods Receipt POs accurately in SAP Business One, including delivery note references and supporting documentation.
  • Reconcile warehouse-to-warehouse transfers and ensure that quantities leaving one location are correctly received at the destination.
  • Compare outbound shipments and customer returns reported by our warehouses with deliveries recorded in SAP.
  • Ensure that inventory movements are documented completely and traceably.

Difference & Clarification Management

  • Identify stock, receipt and shipment discrepancies and transfer unresolved quantities into the designated clarification warehouse in SAP.
  • Assign the correct reason code and maintain a structured log of every open case.
  • Follow up with 3PL warehouses on discrepancies within 24 hours.
  • Follow up with suppliers within 48 hours where supplier clarification is required.
  • Request invoice corrections where received quantities differ from invoiced quantities.
  • Track every discrepancy from identification through to final resolution.
  • Provide a daily status update to Accounts Payable, Purchasing and the CFO.

Weekly Inventory Reconciliation

  • Perform a complete reconciliation of each 3PL warehouse against SAP by item, quantity, batch and best-before date.
  • Investigate and explain all inventory differences.
  • Review the clarification warehouse and document the age, reason, owner and next action for every open item.
  • Identify partially delivered and overdue purchase orders and provide the Planning team with a clear recommendation to close or keep open.
  • Maintain warehouse performance scorecards covering:
  • Report timeliness
  • Inventory differences
  • Open clarification cases
  • Resolution performance

Month-End & Inventory Reporting

  • Prepare the month-end stock reconciliation for each external warehouse.
  • Support year-end stock confirmations and provide documentation required for financial audits.
  • Support physical inventory counts and cycle counts performed by our warehouse partners.
  • Identify unresolved stock cases older than 30 days and prepare recommendations for claims, corrections or write-offs.
  • Prepare the monthly inventory and reconciliation KPI pack for the CFO.
  • Maintain and continuously improve the related SOPs and step-by-step procedures.
