Scheduling Coordinator / Recruitment Support (US Home Care Scheduling)
Confidential employer
About the Role
We're a US-based company growing our remote operations team. We're looking for an experienced Scheduling Coordinator to manage caregiver schedules for in-home care services and support the early stages of caregiver hiring.
This is a hybrid role. Scheduling is the main focus (about 70% of the work), and recruitment support makes up the rest. You'll be working with a lean, fast-moving team, so we need someone who takes ownership, communicates proactively, and is comfortable wearing more than one hat.
This is a long-term position. We're looking for someone who plans to stay, performs consistently, and grows with the team. Rate increases are based on performance and reliability over time.
What You'll Do
Scheduling (main focus)
-Build and manage recurring caregiver schedules, often set up months in advance so families get consistent care from the same caregiver
-Match caregivers to families based on availability, location, and each family's care preferences
-Handle call-offs and last-minute changes, and quickly find coverage for open shifts
-Coordinate visit details and schedule changes with caregivers and families by phone, text, and email
-Keep schedules and records accurate and up to date in the scheduling system
Recruitment Support
-Review caregiver applicants in our applicant tracking system (CareerPlug)
-Reach out to candidates by text and email , and conduct initial phone screenings
-Schedule virtual interviews and sit in when needed
-Follow up on onboarding and compliance requirements for new caregivers
-Keep promising candidates and past caregivers engaged for future openings
Other
-Support general admin tasks and help test new tools the team adopts, including AI-based scheduling features
What We're Looking For
-Solid hands-on experience in home care scheduling (required)
-Experience with recruitment, candidate screening, or an ATS is a strong plus
-WellSky experience is highly preferred. Experience with similar home care platforms (e.g., AxisCare) is also welcome
-Excellent written and spoken English, with a warm and professional phone manner
-Calm under pressure and able to solve urgent coverage problems quickly
-Organized, detail-oriented, and careful with accuracy (e.g., honoring family preferences for caregivers)
-Comfortable learning new systems and tools quickly
-Willing to work full-time on US Central Time business hours
-Reliable internet, backup power, and a quiet workspace
Please do not apply if you don't have hands-on experience in scheduling. Applications without relevant experience will not be considered.
