AI Systems & Automation Specialist — Luxury Real Estate

We are building a modern luxury real-estate business in California that uses AI employees and automation to improve client service, database follow-up, marketing execution, reporting, and internal efficiency. We are looking for a technically capable, highly organized AI Systems & Automation Specialist to help us build and operate that system.
What you will own
Build, refine, and maintain a team of 10 specialized AI employees.
Create reliable workflows using ChatGPT/OpenAI tools plus Zapier, Make, n8n, or comparable automation platforms.
Turn business outcomes into repeatable AI workflows, not just one-off prompts.
Document every workflow with clear SOPs, inputs, outputs, owners, QA checks, and escalation rules.
Monitor AI outputs for quality, hallucinations, missing context, stale data, and process failures.
Connect AI workflows to Google Workspace, spreadsheets, marketing systems, and Follow Up Boss when appropriate.
Prepare structured outputs for the EA rather than creating duplicate CRM work.
Build dashboards and exception queues so the founder only sees what actually requires her.
Continuously identify repetitive work that can be simplified, automated, or removed.
The person we want
Hands-on experience with ChatGPT and AI workflow design.
Strong experience with at least one automation platform: Zapier, Make, or n8n.
Comfort with APIs, webhooks, JSON, data mapping, and troubleshooting integrations.
Excellent written English and strong SOP/documentation skills.
Able to test your own work and explain why a workflow is reliable.
Comfortable working independently from an outcome rather than needing step-by-step instructions.
High attention to detail and strong judgment about what should—and should not—be automated.
Experience with CRMs is preferred. Follow Up Boss experience is a bonus, not the main requirement.
U.S. real-estate experience is helpful but not required if your AI/automation skills are strong.
Schedule + structure
Start at approximately 20 hours per week.
Long-term role for the right person; hours should grow to full time if useful work justifies them.
Overlap with Pacific Time for a small number of scheduled meetings is preferred, but the role does not need full U.S. business-hour coverage.
30-day paid trial, followed by a formal 60- and 90-day review.
