Executive Virtual Assistant, Shopify & AI Operations (Full-time)

Type of work: Full-time, remote, long-term
Salary: USD 800–1,100 / month, depending on experience (+ performance bonus)
Hours: 8h/day, Manila time (UTC+8). Some flexibility needed for calls with Tunisia and Dubai.

About us
We are an international group running e-commerce brands (DTC) and a cosmetics factory, with sourcing and trading operations across Tunisia, the UAE, China and the Philippines. You will work directly with the founder as his right hand. Half your job is keeping his day organized; the other half is running Shopify and AI-powered operations.

Part 1: Shopify & AI operations

Shopify store management: add and update products (titles, descriptions, images, variants, prices), manage collections, discounts and basic apps.
Store checks: verify that product pages, links, checkout and ads' landing pages work (no broken links, no wrong product).
Orders: track orders and follow up on issues (COD confirmations, delays, returns) with the logistics team.
AI-powered work: use Claude and ChatGPT daily to write product descriptions, research competitors and products, summarize data and draft messages.
Automations: help set up and maintain simple automations (Zapier, Make or n8n) with our developer.
Market & competitor watch: monitor competitor stores and ads, and report new products or trends weekly.

Part 2: Executive support (daily)

Recruitment & sourcing: find candidates and agencies (LinkedIn, Upwork, OnlineJobs), contact them one by one, follow up and book calls.
Tracking: keep a clean tracker of candidates, partners and tasks (Google Sheets / ClickUp).
Scheduling: manage the founder's calendar across time zones (Manila, Shanghai, Dubai, Tunisia).
Meeting minutes: send a summary after every call (decisions, owners, deadlines), then follow up until each item is done.
Reports: turn research into clean 1–2 page reports (PDF / Google Docs).
Admin: inbox triage and document collection.

Must have

2+ years of hands-on Shopify experience (product uploads, collections, apps, orders)
2+ years supporting a founder or CEO as an assistant or VA
Daily user of AI tools (Claude or ChatGPT), with concrete examples
Excellent written and spoken English
Very organized, proactive, discreet, with strong follow-up discipline
Stable internet + backup power

Nice to have

Zapier / Make / n8n experience
Meta Ads basics (Ads Manager, pixel)
Experience with COD e-commerce or Middle East markets
French
