Part-Time Management Accountant / QuickBooks Advisor

We are looking for an experienced Management Accountant / QuickBooks Online Advisor to assist our hospitality and property business for approximately 5–10 hours per week.

We already have a bookkeeper handling much of the day-to-day accounting work.

This role is the next level above bookkeeping.

We are looking for someone who can review what is already in QuickBooks, clean up problems, assist with VAT reporting, provide accounting guidance, and help us better understand the performance of the business.

We operate a resort and hospitality business in Vanuatu, with several related entities covering accommodation, restaurant operations and property-owner accounting.

What we need help with

The initial work will mainly involve reviewing and cleaning up our existing QuickBooks Online accounts.

This may include:

Reviewing historical transactions and identifying errors

Cleaning up duplicated or incorrectly posted transactions

Reviewing the chart of accounts

Checking how transactions are being classified

Reviewing bank and balance-sheet reconciliations

Helping correct historical accounting issues

Reviewing work completed by our existing bookkeeper

Assisting with month-end and year-end adjustments

Helping with VAT returns and VAT reconciliations

Checking that VAT has been treated correctly

Reviewing inter-company and related-party transactions

Helping establish better accounting procedures and controls

We previously experimented with automatically transferring sales information into QuickBooks, which resulted in some duplicated and incorrectly classified transactions. One of the first projects will be helping us clean this up properly.

Management accounting and business insights

We are also looking for someone who can go beyond simply processing transactions.

We would like help understanding questions such as:

How is the business actually performing?

Are margins improving or declining?

Are expenses moving outside normal levels?

Which areas of the business are performing well?

Are there unusual transactions that should be investigated?

How does the current month compare with previous months and previous years?

Is cash flow improving or deteriorating?

Are there accounting issues that management should be aware of?

You do not need to prepare complicated reports every week.

We are looking for someone who can look at the accounts and occasionally say:

“I noticed this — you should probably have a closer look at it.”

That type of insight would be very valuable to us.

VAT experience

Experience with VAT, GST or similar consumption taxes is important.

Our businesses are based in Vanuatu, so you do not necessarily need previous Vanuatu VAT experience.

However, you should have a strong understanding of:

Output VAT / VAT collected

Input VAT / VAT credits

VAT reconciliations

Reviewing VAT returns

Correct treatment of purchases and sales

Identifying transactions where VAT may have been treated incorrectly

We can explain any specific Vanuatu rules where necessary.

QuickBooks Online

You should be highly experienced with QuickBooks Online.

We are not looking for someone who needs to learn QuickBooks after being hired.

Ideally you will have:

4+ years accounting experience

Strong QuickBooks Online experience

Experience cleaning up existing QuickBooks files

Strong reconciliation skills

Experience preparing or reviewing VAT/GST returns

Good understanding of management accounts

Ability to review a Profit & Loss and Balance Sheet and identify unusual items

Good Excel or Google Sheets skills

Strong written English

Good judgement and attention to detail

CPA, CA or equivalent accounting qualifications would be an advantage, but practical experience is more important to us than qualifications alone.

Experience with hospitality, hotels, restaurants, property management or multi-entity businesses would also be useful.

AI and automation

We are interested in gradually using AI to improve efficiency.

Over time, we would like to investigate using tools such as:

ChatGPT

Claude

QuickBooks reporting

Excel / Google Sheets

Zapier

Make

Other accounting automation tools

This could eventually help with things such as:

Management reporting

Owner reporting

Reviewing transactions

Identifying unusual entries

Comparing monthly results

Extracting information from accounting data

Reducing repetitive administrative work

You do not need to be an AI expert.

We are mainly looking for someone who is curious, practical and willing to help us gradually improve the system.

How we like to work

We prefer people who investigate problems before immediately asking questions.

If you encounter an accounting issue, ideally you would come back to us with something like:

“I have looked into this. This is what I think happened, these are the transactions involved, and this is how I recommend we correct it.”

We are happy to answer questions where necessary, but we are looking for someone capable of working independently and applying good accounting judgement.

Hours

Initially approximately:

5–10 hours per week

Hours are flexible.

This would suit an experienced accountant who already has another role or other clients but has some spare capacity each week.

There may be additional hours available from time to time.

Pay

Please advise your expected hourly rate in USD.

We are looking for good value, but we are not simply looking for the cheapest applicant.

We would rather pay more for someone who genuinely understands accounting and QuickBooks and can work efficiently without requiring constant supervision.
