HubSpot Administrator & Revenue Operations Specialist
Confidential employer
We are looking for a true HubSpot administrator and systems thinker who can understand a business process, determine the best way to structure it inside HubSpot, build it, test it, document it, and continuously improve it.
You will become our internal HubSpot expert.
We do not want to have to tell you exactly which property to create, which workflow trigger to use, or how a pipeline should be structured.
Instead, we want to be able to explain to you what we are trying to accomplish and have you help determine how HubSpot should be built to accomplish it. You should be both strategic and hands-on.
What You Will Own
HubSpot Architecture & Administration:
Overall health and structure of our HubSpot environment
Configure and maintain contacts, companies, deals, properties, associations, pipelines, lifecycle stages, lists, users, permissions, and teams
Review existing HubSpot architecture and identify areas that should be cleaned up, consolidated, or redesigned
Build scalable systems rather than one-off fixes
Maintain data integrity and prevent unnecessary duplicate properties, workflows, lists, and processes
Workflows & Automation:
Design, build, test, and troubleshoot HubSpot workflows
Automate lead routing, follow-up tasks, notifications, relationship management, pipeline movement, and internal processes
Identify repetitive manual work that should be automated
Build safeguards to prevent automation conflicts and bad data
Quality assurance changes before implementation
Sales & Revenue Operations:
Help design sales processes and pipelines inside HubSpot
Build reporting that gives clear visibility into leads, opportunities, referrals, activities, conversion, and revenue
Improve pipeline accuracy and CRM adoption
Help ensure leads and opportunities do not get missed
Translate sales and business-development processes into CRM systems
Data Management:
Own CRM data quality
Maintain consistent naming conventions and property structures
Diagnose the source of inaccurate or conflicting CRM data
Integrations & Systems:
Manage and troubleshoot integrations between HubSpot and other apps
Work with tools such as Calendly, Slack, Google Workspace, forms, calling systems, Zapier/Make, and similar platforms
Troubleshoot automation issues
Experience with APIs, webhooks, or custom-coded workflow actions is highly valued
Reporting & Dashboards:
Build useful reporting and dashboards for leadership, sales, marketing, and operations
Help leadership determine which KPIs should be tracked inside HubSpot
Documentation & Team Support:
Document major workflows, properties, integrations, and system architecture
Create simple SOPs for processes the team needs to follow
Train team members on the correct use of HubSpot
Troubleshoot user issues
Stay current on HubSpot updates and recommend features that could improve our operations
What We Are Looking For:
3+ years of hands-on HubSpot administration experience preferred
Deep understanding of HubSpot CRM architecture
Strong experience building complex workflows and automation
Experience with pipelines, lifecycle stages, properties, associations, reporting, dashboards, lists, and segmentation
Experience inheriting an existing HubSpot portal and improving or restructuring it
Strong data-cleaning and CRM-governance skills
Strong Excel or Google Sheets skills
Experience with Zapier, Make, native HubSpot integrations, or similar automation tools
Excellent written and spoken English
Strong analytical and troubleshooting ability
Able to explain technical concepts clearly to nontechnical team members
Strongly Preferred:
HubSpot certifications
Revenue Operations or Sales Operations experience
Experience managing HubSpot for a growing U.S. company
Experience with both Sales Hub and Marketing Hub
Experience building CRM systems across sales, marketing, and operations
Experience with APIs, webhooks, or custom workflow actions
Experience using AI tools to improve CRM and business automation
The Person We Want:
You are probably a good fit if you look at a CRM and immediately start thinking there is a cleaner way to do it.
You ask questions before building.
You understand the business objective behind the request.
You are comfortable recommending a better approach when appropriate.
You are extremely organized and detail-oriented.
You want to build then maintain daily operations
Most importantly, you take ownership.
What This Role Is NOT:
Not data only entry
Not a general virtual assistant position
Not a role where you simply wait for detailed step-by-step instructions
How to Apply:
Please submit your resume and include a short recorded video answering the following:
1. Tell us about the most complicated HubSpot environment you have personally managed or built.
2. Show us an example of a workflow, reporting system, pipeline, or automation you created. Please hide or remove any confidential client information.
3. Tell us about a HubSpot system you inherited that was poorly organized or incorrectly configured. What did you change?

5. What areas of HubSpot are you least experienced in?
Please also include:
1. Your expected monthly compensation in USD
2. Your availability
3. Your current HubSpot certifications
4. Whether you are comfortable working with a U.S.-based team during any U.S. Central Time hours
