Production Manager
Confidential employer
About the Role
We're looking for a sharp, organized Production Manager to lead our remote Virtual Assistant team. You'll own the team's daily output, keep projects moving on schedule, build the systems that make the team run smoothly, and hold everyone accountable to a high standard. This role is ideal for someone who thinks critically, leads with confidence, and takes full ownership of results.
You don't need experience in our specific industry. We'll teach you our workflow. What we need is intelligence, strong judgment, and proven management experience.
Quality Control Is Everything
Quality control is the most important part of this job. Every piece of work that leaves this team reflects on our business, and it's your responsibility to make sure nothing goes out with errors. You must have a sharp eye for detail and catch the small mistakes others miss. If "good enough" is good enough for you, this role is not a fit.
What You'll Do
Lead, coordinate, and hold accountable a remote team of Virtual Assistants across time zones
Assign, track, and prioritize tasks so deadlines are consistently met
Own quality control for the entire team. Personally review all completed work against quality standards before delivery, and send it back when it doesn't meet the bar
Build and maintain QC checklists so every task is reviewed the same way, every time
Track errors and revisions to spot patterns, then fix the root cause through training or better processes
Give team members clear, specific feedback on mistakes so they aren't repeated
Write, maintain, and improve Standard Operating Procedures (SOPs) so any team member can follow a process without hand-holding
Identify recurring problems and solve them with better systems, not quick fixes
Send weekly performance reports covering output, turnaround times, and error rates
Onboard and train new team members
Address underperformance directly and professionally
Requirements
Master's degree or higher
Impeccable written and spoken English
2+ years of experience directly managing people you were accountable for
Experience leading remote or distributed teams
Strong critical thinking and problem-solving skills
An exceptional eye for detail and a proven track record of maintaining high quality standards
Hands-on experience with project management tools such as ClickUp, Asana, Notion, Trello, or similar, including building boards and tracking team progress
Comfort organizing large volumes of files in Google Drive or Dropbox using clear naming conventions and folder structures
Ability to write clear, step-by-step SOPs
Proactive communicator who reports on progress without being asked
Who You Are
A natural leader who takes ownership of the team's results
A fast learner who can absorb a new system quickly and start improving it
Calm and decisive under pressure
Coachable and open to direct feedback
Obsessively detail-oriented, with high personal standards for your own work and your team's
Schedule and Setup
Must be available Monday through Friday, 9 AM to 5 PM Central Time (CDT)
Replies to messages within 3 minutes during business hours
Stable high-speed internet with a backup power or internet plan
A modern, reliable computer
