About the Role

Position Overview

We are seeking a proactive, creative, and technology-driven AI & Marketing Manager to oversee the company’s marketing, lead generation, branding, content, and artificial-intelligence systems.

This person will use AI and automation to help the company operate more efficiently, attract more buyers, sellers, and agents, and maintain consistent communication with its database. The ideal candidate is not simply a task-taker. We are looking for someone who identifies opportunities, recommends improvements, tests new ideas, and takes ownership of results.

Primary Responsibilities

Artificial Intelligence and Automation

The AI & Marketing Manager will research, implement, and manage AI tools that improve marketing, lead generation, recruiting, client communication, and daily operations. This person will build AI-assisted workflows for social media, email marketing, listing promotion, recruiting, follow-up, market updates, and database nurturing.

The manager will create reusable prompts, templates, and systems for agents and staff while identifying repetitive tasks that can be automated without sacrificing service or personalization. This role will connect approved tools with Follow Up Boss, websites, advertising platforms, calendars, email systems, and other company technology.

The manager will monitor all automations to ensure leads and clients receive accurate, timely, and appropriate communication. This person will train agents and staff on the proper use of AI tools and maintain an organized library of prompts, templates, marketing assets, and operating procedures.

The manager will also protect confidential client and company information, prevent sensitive information from being entered into unapproved public AI platforms, and review AI-generated content for accuracy, brand consistency, Fair Housing compliance, and professional quality before publication.

Marketing Management

The AI & Marketing Manager will develop and manage annual, quarterly, and monthly marketing calendars. This person will create and execute campaigns designed to generate buyer, seller, recruiting, referral, and investment leads.

The manager will oversee marketing for Coming Soon, Just Listed, Open House, Under Contract, Just Sold, Deal of the Week, and price-improvement campaigns. Responsibilities will include coordinating professional photography, video, drone photography, floor plans, virtual staging, brochures, postcards, property websites, and social media content.

The manager will ensure every listing receives a consistent, high-quality marketing launch. This person will create and manage email newsletters, database campaigns, market updates, client events, and past-client outreach.

The role will also maintain consistent branding across the website, social media, presentations, print materials, signs, email campaigns, and advertising. The manager will oversee relationships with photographers, videographers, printers, designers, and other vendors while tracking marketing expenses and evaluating return on investment.

Content and Social Media

The manager will create, edit, schedule, and publish content across Instagram, Facebook , YouTube, LinkedIn, Google Business Profile, and other approved platforms. Content will include short-form videos, educational material, property tours, testimonials, agent spotlights, recruiting content, and local-market features.

This person will repurpose long-form content into multiple videos, posts, email s, articles, and graphics. The manager will maintain a consistent posting schedule and recognizable brand voice, monitor comments and messages, and promptly route leads into Follow Up Boss.

The manager will track engagement, audience growth, inquiries, and appointments generated from content while staying current on platform changes, emerging trends, and effective real-estate marketing practices.

Lead Generation and Advertising

The manager will oversee or coordinate Google, Meta, YouTube, retargeting, and other digital advertising campaigns. This person will create landing pages, lead magnets, forms, and automated follow-up campaigns.

Campaigns will target homeowners, expired listings, FSBOs, absentee owners, investors, renters, first-time buyers, luxury clients, and prospective agents. The manager will monitor cost per lead, lead quality, conversion rates, and return on advertising spend.

This person will test audiences, headlines, creative materials, landing pages, and follow-up sequences. The manager will coordinate with agents and inside-sales staff to ensure leads receive immediate and consistent follow-up. Underperforming campaigns will be identified and improved based on measurable data.

CRM and Database Marketing

The manager will work inside Follow Up Boss to maintain tags, action plans, smart lists, campaigns, and lead-routing systems. The database will be segmented by client type, location, timeline, lead source, price range, and level of motivation.

The manager will create long-term nurture campaigns for buyers, sellers, past clients, investors, recruits, and referral partners. This person will monitor lead-response times, follow-up completion, database engagement, and appointments generated.

The manager will ensure marketing leads are properly entered, assigned, tagged, and tracked while working with leadership to improve lead-conversion systems and reporting.

Recruiting and Staff Support

The manager will create recruiting campaigns for new, experienced, part-time, and referral agents. This person will develop agent success stories, culture videos, presentations, landing pages, advertisements, and recruiting follow-up campaigns.

The manager will promote training, meetings, accomplishments, closings, community involvement, and events. Agents will receive approved social media templates, listing materials, presentations, and marketing resources.

The manager will also help agents develop professional biographies, videos, email campaigns, and personal branding that remain consistent with the company’s overall standards. Periodic AI and marketing training will be provided to agents and staff.

Performance Expectations and KPIs

Success in this role will be measured by the number and quality of buyer, seller, recruiting, and referral leads generated; appointments and closed business attributable to marketing; cost per lead; and return on advertising spend.

Additional performance measures will include the speed and consistency of listing launches, database growth, email engagement, reactivation of older leads, social media reach, follower growth, inbound inquiries, website traffic, landing-page conversion rates, Google Business Profile activity, and review growth.

The role will also be evaluated based on the percentage of leads properly entered, tagged, assigned, and nurtured; the number of useful AI and automation systems implemented; administrative hours eliminated through improved systems; accuracy and timeliness of marketing deliverables; and agent adoption of approved AI and marketing tools.

The manager will provide leadership with a concise weekly report covering completed projects, active campaigns, measurable results, challenges, recommendations, and priorities for the following week.

Required Qualifications

Candidates should have experience in digital marketing, content creation, marketing operations, automation, or a related field. They must possess strong working knowledge of modern AI tools and demonstrate an ability to learn new platforms quickly.

The position requires experience with social media management, email marketing, graphic design, and video editing. Candidates must have excellent writing, editing, organization, and project-management skills, along with the ability to analyze marketing data and explain results clearly.

The successful candidate will demonstrate strong attention to detail, a commitment to accuracy, and the ability to manage multiple projects and deadlines without constant supervision. This person must be proactive, comfortable receiving feedback, willing to test new approaches, and accountable for measurable results.

Candidates must also understand confidentiality, cybersecurity, copyright, advertising regulations, privacy requirements, and Fair Housing compliance.

Ideal Candidate

The ideal candidate thinks like an owner rather than waiting to be told every next step. This person uses AI to improve human performance without replacing professional judgment or personal relationships.

The right individual balances creativity with data and measurable outcomes, works quickly without sacrificing accuracy, and understands that marketing must generate opportunities—not merely produce attractive content.

This person is resourceful, organized, curious, dependable, comfortable taking initiative, and consistently asks how a process can be improved, automated, measured, or turned into additional business.

Equal Opportunity

The company is committed to providing equal employment opportunities and maintaining marketing practices consistent with all applicable Fair Housing, anti-discrimination, advertising, privacy, and real-estate regulations.
