Patient Care Coordinator — US Medical Clinics (Phone / Appointment Setting)
Confidential employer
APPLICATIONS WITHOUT A VOICE RECORDING WILL NOT BE VIEWED OR LOOKED AT.
Schedule: US Eastern hours (late evening / overnight Philippine time)
Paid: Weekly, every Sunday, via Wise
About the role
We run patient acquisition for regenerative medicine clinics across the United States — stem cell, PRP and exosome therapy. Real clinics, real doctors, treatments that cost patients $5,000–$15,000.
Your job is one thing: get people who enquire online into a chair in front of a doctor.
When a patient submits a form, you call them within minutes. You find out what's wrong with them, whether we can help, and you book them into a free in-person consultation. Then you make sure they actually turn up.
This is not chat support. This is not data entry. You will be on the phone with Americans, most of them aged 50–75, many of them in pain and nervous about spending money. They need to trust you in the first fifteen seconds.
What you'll do
Call new patient enquiries within 5 minutes of them coming in
Qualify them properly — condition, history, timeline, ability to pay
Book them into the clinic's calendar
Confirm and re-confirm appointments so they show up
Work leads that didn't answer the first time (most bookings come from call 4–8, not call 1)
Log everything accurately in our CRM
What we need
2+ years on the phone with US customers — BPO, call centre, appointment setting, healthcare, insurance or sales
English that an American will not have to strain to understand. Clear, warm, unhurried
Genuinely comfortable making 80–120 calls in a shift
A quiet room, a headset, and a stable connection — plus a backup plan for brownouts and internet outages
Someone who takes correction well. Your calls will be reviewed and you'll be coached on them
What we don't need
General VAs looking for a light admin job
Anyone who needs to be chased to make calls
Anyone who can't or won't work the US schedule long-term
Why this pays above market
$7/hour is high for this market and we know it. We pay it because we want people who stay, who get good, and who treat this as a career rather than a stopgap. Our top coordinators go on to lead teams. In return we expect performance, and we measure it: speed to call, booking rate, show-up rate.
HOW TO APPLY — read carefully, applications that miss any step are deleted unread
Put PATIENT-COORD-2026 in your subject line.
Record a voice message, 2–3 minutes, using Vocaroo or Loom. Send the link. In it:
Introduce yourself and tell us the US accounts you've worked on
Then role-play this: you're calling Margaret, 64, who filled in a form about knee pain last night and hasn't spoken to anyone yet.
Your goal is to book her into a free consultation this week. Just start the call and run it as you would for real.
Tell us in two sentences: what's the hardest objection you've ever handled on a call, and what did you say?
Attach a screenshot of your internet speed test, and tell us what your backup is when the power or internet goes down.
Applications without the voice recording will not be reviewed. We hire on how you sound, not how you write.
