About the Role

About the Role

I am looking for a highly organized, proactive, trustworthy, and confident Personal & Executive Assistant who can help me manage my personal life, education, administrative responsibilities, and multiple businesses.

This is not a traditional Virtual Assistant position where you wait every morning for me to give you a list of tasks.

I need someone who can gradually become my organizational “second brain”: understand what is happening across my life, keep track of unfinished responsibilities, prepare things before I need them, organize information, follow up with me, and actively help me stay focused.

I am a mother to a young daughter whom I absolutely adore, and she naturally wants a lot of my attention throughout the day. I do not plan to hire a nanny due to personal reasons.

Instead, I am looking for someone who can help me organize my work and responsibilities around being a very involved mother.

I am also very aware that I have taken on a lot this year. I do not need someone to tell me that I am busy — I need someone who can help me turn that workload into something organized and manageable.

Some days you may organize email s and documents. Another day you may prepare a grocery list, update an expense tracker, research flights, prepare instructions for an employee, attend a client meeting, organize employment/immigration records, help me organize my laptop, or simply stay on Zoom with me while I finish something important that I have been postponing.

This role requires flexibility, initiative, discretion, excellent organization, and good judgment.

Daily Organization & Accountability

A major part of your job will be helping me determine what actually needs my attention.

You may:

  • Maintain one master task system across my personal life, education, and businesses
  • Prepare my priorities for the day
  • Prepare the following day's plan
  • Review upcoming deadlines and commitments
  • Maintain my calendar
  • Schedule and reschedule appointments
  • Protect important focus/work blocks
  • Keep track of unfinished tasks
  • Maintain follow-up and “waiting for” lists
  • Break overwhelming projects into smaller actions
  • Keep non-urgent ideas in a backlog
  • Remind me about important responsibilities
  • Follow up when something has not been completed
  • Conduct weekly planning/reset sessions with me
  • Adjust plans when real life changes unexpectedly

I specifically want someone who is comfortable holding me accountable.

If we agreed that I need to spend the next 90 minutes working on something important and I become distracted by something less important, I want you to respectfully redirect me.

I do not need another person waiting for me to tell them what to do.

I want someone who eventually understands my priorities well enough that I can ask:

“What should I be working on right now?”

and you can help me answer that.

Zoom Accountability / “Do It With Me” Sessions

This is an important and somewhat unusual part of the position.

There will be times when I need you to join me on Zoom while I work.

For example:

  • Stay on Zoom while I work on my master's degree
  • Help keep me focused during a 60–90 minute work session
  • Sit with me while I complete business administration
  • Work through a new business system/process alongside me
  • Help me complete paperwork I have postponed
  • Help me process and organize my inbox
  • Screen-share while we organize files on my laptop
  • Sit with me while I work through client/business processes
  • Take notes while I work
  • Capture action items that come up during the session
  • Keep me from unnecessarily switching between tasks
  • Record exactly where we stopped and what needs to happen next

Sometimes your responsibility may simply be:

“We said we were finishing this today. Let's finish it before moving to something else.”

You will not complete my academic work for me. I remain responsible for my own academic work.

Your role is accountability, organization, preparation, and helping me actually complete the things I have d ---------- are important.

Voice-Based Productivity

I would also like help learning how to use voice and dictation to work more efficiently.

Typing can sometimes slow me down significantly, so I want to explore practical ways to use my voice for more of my work while still personally completing and reviewing everything that requires me.

You may help me:

  • Learn and set up speech-to-text/dictation tools
  • Learn how to work efficiently using voice instead of typing everything
  • Help me test voice-based workflows while we are together on Zoom
  • Find ways for me to dictate my own thoughts for graduate-school work and then personally review, edit, verify, cite, and finalize them
  • Use dictation to prepare email s and business communications faster
  • Use voice when working on documents, planning, brainstorming, and other appropriate tasks
  • Research tools or workflows that could reduce the amount of manual typing I need to do
  • Help me practice and improve the workflow until it actually saves me time

You do not need to already be an expert in voice technology. I mainly need someone who is comfortable researching solutions, testing them with me, and helping me find a system that works.

Email & Communication Management

I need significant help reducing the amount of time I spend processing email and routine communications.

You may:

  • Organize personal and business inboxes
  • Create and maintain labels/folders
  • Identify urgent messages
  • Archive unnecessary messages
  • Flag messages requiring my attention
  • Draft responses
  • Send routine approved communications when authorized
  • Track unanswered email s
  • Follow up when necessary
  • Keep track of people/companies we are waiting to hear from
  • Summarize long email conversations
  • Organize attachments
  • Prepare documents needed for responses
  • Maintain reusable communication templates
  • Maintain a “Needs My Decision” category so I can review important items together rather than constantly being interrupted

The goal is for me to spend significantly less time processing routine communication myself.

Business Operations

I manage multiple business activities and already have/will have other team members with their own specific responsibilities.

You are not replacing those employees.

Your role is to support me across everything and help coordinate the administrative and executive side of the businesses.

This may include:

  • Maintain high-level business task lists
  • Prepare documents
  • Create SOPs
  • Create employee instructions
  • Prepare training materials
  • Prepare “Golden Rules” documents
  • Create checklists
  • Maintain company files
  • Organize business calendars
  • Prepare meeting agendas
  • Attend appropriate meetings
  • Take meeting notes
  • Convert meetings into actionable tasks
  • Follow up after meetings
  • Track deliverables
  • Prepare client files
  • Maintain CRM information
  • Track missing client documents
  • Prepare routine client follow-ups
  • Schedule client calls
  • Attend appropriate client meetings with me
  • Eventually handle appropriate routine meetings independently
  • Organize contracts and company records
  • Research software, vendors, and services
  • Maintain subscriptions and renewal dates
  • Coordinate administrative matters with other team members
  • Collect questions from team members that actually require my decision
  • Help prevent routine questions from interrupting me throughout the day

Employee Support & Documentation

One of your responsibilities will be helping me turn my ideas and verbal explanations into organized materials for other team members.

For example, I may explain how I want something handled and ask you to turn that information into:

  • A “Golden Rules” document
  • SOP
  • Checklist
  • Training document
  • Daily workflow
  • Client communication guidelines
  • Escalation rules
  • Quality-control checklist
  • Reporting template
  • FAQ
  • Onboarding document
  • First-week schedule
  • Employee reference document

You may also help organize materials and instructions needed by team members before they begin their work.

A simple principle for this position is:

If I have to explain something repeatedly, we should document it.

I want you to help turn knowledge that currently exists in my head into organized systems that other people can follow.

Client & Business Process Support

Sometimes I will need you to learn a business process alongside me.

Initially, we may sit together on Zoom while I learn and work through the process.

You may:

  • Observe and understand the workflow
  • Take detailed notes
  • Create an SOP from what we learn
  • Create checklists
  • Organize client information
  • Update CRM records
  • Prepare client files
  • Track missing documents
  • Prepare follow-up communications
  • Schedule client calls
  • Attend appropriate client meetings with me
  • Take meeting notes
  • Record meeting outcomes
  • Track next steps
  • Maintain pipeline information
  • Track deal progress
  • Track revenue/commissions
  • Prepare information before client meetings
  • Prepare things requiring my review or approval
  • Handle appropriate routine client coordination

As you become familiar with a process, I would like you to gradually take ownership of appropriate administrative portions rather than requiring me to continue doing everything.

Important business, legal, financial, contractual, or other decisions that require me will remain my responsibility.

Immigration & Employment Record Organization

I am an international graduate working in the United States, so I have important employment and immigration-related administrative records that must remain extremely organized.

This is administrative support only. You are not expected to provide immigration or legal advice.

You may help me:

  • Maintain my employment records
  • Maintain employment dates and hours
  • Transfer employment information into the spreadsheet/tracker I am working with
  • Keep my OPT employment
