About the Role

VCAY Suites | Hospitality / Boutique Hotel Operations

VCAY Suites is looking for an experienced Hotel Reservations & Revenue Coordinator to support the daily reservations, operations, distribution, and online performance of our boutique hotel.

This is NOT a basic virtual assistant or data-entry position. We need someone with real hospitality or short-term rental experience who can work independently, identify problems, follow up without being reminded, and understand that occupancy, guest experience, and revenue are the priorities.

Breezeway Experience Is REQUIRED

You MUST have previous hands-on experience using Breezeway.

We are specifically looking for someone who has actually worked inside Breezeway—not someone who has watched tutorials or is willing to learn it after being hired.

You should already understand how to work with:

Cleaning and maintenance tasks
Task assignments and scheduling
Inspections and quality-control workflows
Task completion and approval
Property operations
Cleaner/maintenance coordination
Tracking incomplete or overdue work
Arrival/departure-related operational tasks

If you have never personally used Breezeway in a previous position, please do not apply.

Responsibilities

You will be responsible for helping monitor and manage the hotel's daily operations, including:

Check Mews PMS throughout the shift for new reservations, cancellations, arrivals, departures, payments, and reservation issues.
Verify reservations from Airbnb, ---------- , Expedia, direct website bookings, and other channels are coming through correctly.
Check upcoming occupancy and availability and identify dates that are underperforming.
Identify a ---------- blocked inventory, mapping problems, unavailable listings, rate discrepancies, or other issues that could prevent bookings.
Monitor PriceLabs and verify pricing and availability are updating correctly.
Check OTA listings to make sure they are live, bookable, accurate, and displaying the correct availability.
Monitor and manage Breezeway cleaning, inspection, and maintenance tasks.
Follow up on incomplete, overdue, or unassigned Breezeway tasks.
Coordinate operational issues with cleaners, maintenance staff, and management.
Monitor guest communications and respond professionally and promptly.
Assist with guest verification, payment, check-in, and reservation issues.
Maintain and update the group reservation/sales tracker.
Follow up with group inquiries and leads.
Maintain the SEO and marketing tracking sheet.
Review and improve OTA listing information, descriptions, amenities, and other content when assigned.
Respond professionally to reviews on Airbnb, ---------- , Google, Yelp, and other platforms.
Monitor online business profiles and report incorrect information or problems.
Assist with initiatives designed to increase direct bookings.
Escalate serious guest, payment, reservation, or operational problems immediately.
Daily Priority

We do not want someone who spends the entire day completing random administrative tasks while important reservation problems are being missed.

Your priorities should generally be:

Reservations → Availability → Revenue/Occupancy → Channel Problems → Group Leads → Guest Issues → Breezeway Operations → Reviews/SEO → Administrative Tasks

You should be comfortable opening the systems at the beginning of your shift and determining what needs attention without waiting for management to tell you every single thing to do.

End-of-Shift Reporting

At the end of every shift, you will provide a concise report covering:

New bookings | Cancellations | Revenue booked | Occupancy/availability concerns | Group leads & follow-ups | Guest issues | Breezeway issues | Channel/listing problems | Reviews completed | SEO/marketing work | Items requiring management attention

Experience We're Looking For

Required:

Previous hands-on Breezeway experience
Hospitality, hotel, vacation-rental, property-management, or STR experience
Excellent written English
Strong attention to detail
Strong spreadsheet/Google Sheets skills
Ability to work independently
Ability to troubleshoot problems rather than simply report them
Reliable internet and ability to work consistently during assigned hours

Experience with any of the following is highly preferred:

Mews PMS, PriceLabs, Airbnb, ---------- , Expedia, SiteMinder, Canary Technologies, Google Business Profile, Yelp, or similar hospitality systems.

APPLICATION INSTRUCTIONS — READ CAREFULLY

We receive many applications, so generic applications will not be considered.

Start your application with:

BREEZEWAY OPS

If those words are not at the beginning of your application, we will assume you did not read the job description.

Then answer ALL of the following questions:

1. Breezeway Experience
Describe exactly how you used Breezeway in your previous position. What did you personally do inside Breezeway during a normal shift?

2. Breezeway Scenario
A cleaner marks a Breezeway task complete, but the property requires the work to be inspected/approved before it is considered finished. Explain how you handled this type of workflow in your previous role.

3. Operations Scenario
Tomorrow's checkout appears on the reservation calendar, but you notice that the cleaning task has not been assigned in Breezeway. What would you check, and what would you do?

4. Software Experience
Tell us which of the following you have personally used:

Mews | Breezeway | PriceLabs | Airbnb | ---------- | Expedia | SiteMinder | Canary

For each system you've used, briefly explain what you actually did inside it.

Do not simply write “experienced” or “proficient.”

5. Distribution Scenario
Airbnb shows a property available for certain dates, but Mews shows the unit unavailable. What would you investigate?

6. Revenue Scenario
You notice that the hotel's competitors are showing significantly higher occupancy than our hotel for the next 30 days.

What are the first five things you would investigate?

7. Video Requirement
Send a 1–2 minute Loom or similar video introduction.

In the video, briefly introduce yourself and explain one Breezeway workflow you personally managed in a previous job.

Do not display confidential information belonging to a previous employer.

Important

We are specifically looking for someone who is proactive, analytical, dependable, and comfortable taking ownership.

We do not want someone who waits for instructions all day.

If you notice that inventory isn't selling, a listing isn't available, a rate looks wrong, a cleaning hasn't been assigned, a guest hasn't paid, or something else doesn't make sense, we expect you to investigate it and bring it to our attention.

Applications that do not follow the instructions above, skip the Breezeway questions, or provide generic answers will not be considered.
