Freight Broker Operations Support Specialist – U.S. Trucking & Logistics

Modern Transit is looking for an experienced, highly organized Freight Broker Operations Support Specialist to join our growing U.S. transportation team.
This position will work directly with our freight brokerage operations team to help manage shipments from pickup through delivery. We are looking for someone who understands that great logistics operations require communication, urgency, accuracy, and follow-through.
This is more than a traditional virtual assistant position. You will become part of the daily operation of Modern Transit and help ensure our customers, carriers, and internal team receive excellent support.
What You'll Be Doing
- Conducting carrier check calls and monitoring shipments from pickup through delivery
- Communicating with drivers and carriers regarding shipment status, ETAs, delays, and exceptions
- Updating shipment statuses and notes within our Transportation Management System (TMS)
- Assisting with DAT load posting and carrier sourcing when needed
- Confirming pickup and delivery appointments
- Verifying that carriers are on-site for scheduled pickups and deliveries
- Providing proactive shipment updates to the Modern Transit operations team
- Identifying potential late pickups or deliveries before they become service failures
- Requesting and organizing PODs, BOLs, rate confirmations, and other shipment documents
- Assisting with detention, layovers, TONUs, and other shipment exceptions
- Building and updating loads within our systems
- Maintaining accurate records using Microsoft Excel / Google Sheets
- Supporting freight brokers and account managers with daily operational tasks
- Escalating urgent shipment issues to management when necessary
- Helping maintain organized, accurate, and professional communication throughout the shipment lifecycle
Who We're Looking For
Previous experience supporting a U.S.-based freight brokerage, trucking company, 3PL, dispatch operation, or logistics company is strongly preferred.
The ideal candidate has experience with some combination of DAT, TMS platforms, carrier communication, load tracking, freight brokerage operations, dispatching, Excel, Google Sheets, and U.S. trucking terminology.
We're especially interested in someone who can think instead of simply follow instructions.
If a driver hasn't moved in several hours, we want you to notice.
If an appointment is approaching and the truck isn't close enough, we want you to recognize the risk.
If a carrier stops responding, we want you to escalate the situation.
If something doesn't look right in the TMS, we want you to ask questions.
What Success Looks Like
A successful Operations Support Specialist helps our freight brokers spend less time chasing routine shipment information and more time serving customers, sourcing capacity, negotiating freight, and growing the business.
You'll be expected to communicate proactively, maintain accurate information, follow established processes, and take ownership of your responsibilities.
Skills We're Looking For
Strong written and spoken English is required. Candidates should also have excellent attention to detail, professional communication skills, good judgment, time management, computer proficiency, and the ability to work with multiple shipments and systems simultaneously.
Because you'll support U.S. transportation operations, candidates must also be comfortable working U.S. business hours.
