Fitness Equipment Parts, Work Order & Billing Specialist

We are a growing U.S.-based exercise equipment repair company seeking a technically minded, detail-oriented professional for a long-term position.
This role supports our technicians and customers throughout the repair process - from reviewing completed work orders and identifying needed parts to preparing customer quotes, ordering parts, and submitting invoices.
Primary Responsibilities
- Review technician work orders for accuracy, completeness, and clear documentation
- Research parts for treadmills, ellipticals, exercise bikes, strength equipment, and other fitness machines
- Use model and serial numbers, service manuals, parts lists, and exploded-view diagrams to identify the correct components
- Contact manufacturers and vendors to confirm part numbers, pricing, availability, and compatibility
- Prepare accurate, professional repair quotes for customers
- Order approved parts and monitor orders through delivery
- Create and submit customer invoices
- Follow up on open quotes, delayed parts, and missing information
- Communicate professionally with U.S. customers, technicians, manufacturers, and vendors
Our Ideal CandidateL
You are naturally technical and curious about how things work. You may enjoy repairing or tinkering with appliances, cars, computers, electronics, bicycles, or other mechanical equipment.
You should be able, or eager to learn, to:
- Read exploded-view diagrams and parts schematics
- Understand basic mechanical and electrical components
- Recognize parts such as motors, belts, bearings, rollers, cables, pulleys, control boards, switches, sensors, and wiring harnesses
- Learn fitness-equipment terminology and understand how machines operate
- Carefully compare model numbers, serial numbers, measurements, connectors, and other specifications
- Investigate technical problems and reach a logical conclusion
Qualifications
- Excellent written and spoken English
- Exceptional attention to detail and accuracy
- Strong research, organization, and follow-through skills
- Comfortable learning technical concepts and unfamiliar equipment
- Experience with work orders, parts research, purchasing, quoting, invoicing, or customer service
- Ability to manage multiple open items without losing track of details
- Reliable internet, dependable attendance, and availability during U.S. Central Time business hours
- Honest, professional, resourceful, and interested in a long-term position
Previous experience with fitness equipment is helpful but not required. Experience with mechanical repairs, automotive parts, appliances, electronics, field-service companies, Zendesk, or QuickBooks would also be valuable.
We will provide training to the right candidate who demonstrates technical aptitude, sound judgment, careful attention to detail, and a strong willingness to learn.
