We provide monthly close services to US small businesses. Our production process is automated: transaction coding, bank and card matching, reconciliation, and recurring month-end entries are completed systematically, with an AI layer performing the initial categorisation before any file is assigned. We are hiring a bookkeeper to take ownership of the close on an assigned portfolio of client books.
This is not a conventional bookkeeping position. The seat does not involve coding a month from scratch or manual transaction entry. Files reach you with the mechanical work complete. Your responsibility begins where judgement is required: identifying what the automation has classified incorrectly, resolving what it could not determine, and establishing whether the month is accurate enough to release.
The position carries a second area of responsibility of equal weight: the accuracy of the automation itself on your portfolio. Where it consistently misclassifies a category, where a rule breaks and under what conditions, where it fails to identify something it should have. Establishing this is part of closing the month, and it determines how the system processes those files in subsequent periods.
Bookkeepers accustomed to performing every step personally generally do not find this arrangement satisfying. Bookkeepers who have spent years building out their own automation generally do.
Responsibilities
- Own the monthly close on an assigned portfolio, from automated draft through to delivery
- Review automated output in full and correct every misclassification before release
- Resolve edge cases and transactions the automation could not settle, including obtaining client clarification where required
- Prepare month-end entries outside the automated process: accruals, prepayments, depreciation, and client-specific adjustments
- Reconcile all accounts: bank, credit card, and balance sheet accounts with supporting documentation retained
- Deliver financial statements strictly to the agreed monthly schedule
- System feedback: Maintain a record of where the automation failed, the categories involved, and the time each correction required
Requirements
- Minimum five years of professional bookkeeping experience, of which at least the most recent two years have been on an automated workflow: bank feeds, rules, and at least one tool beyond the ledger itself. Both the total experience and the automation experience are required.
- Demonstrated expertise operating an automated bookkeeping stack. You configure and maintain bank rules rather than accept defaults, understand the conditions under which they break, and can state which transaction categories your software handles reliably and which require review without exception.
- Substantive hands-on use of AI within bookkeeping itself: classification, coding, document extraction, or transaction review, not correspondence or administrative tasks. You should be able to describe specific instances where an AI tool produced an incorrect result and how you identified it.
- Access to at least one closed month of books you are able to share for the practical assessment.
- Full monthly closes completed end-to-end for US, UK, or Australian clients.
- QuickBooks Online or Xero as your primary ledger.
What is NOT required:
- Certifications or accounting degrees
Not suitable for:
- Manual data entry roles or candidates who code a full month by hand
- Candidates whose experience is limited strictly to AP/AR or payroll without full month-end closes
- Candidates who have not worked on an automated bookkeeping stack
