About the Role

We are seeking a highly experienced Company Controller to serve as the senior accounting lead for an established Hawaii-based multi-trade contractor supporting commercial and institutional facilities.

The company provides roofing, HVAC/R, commercial doors, electrical, plumbing, and general maintenance services. The Controller will own the financial books, job-cost integrity, month-end close, and management reporting while partnering closely with company leadership and operations.

This is not a routine bookkeeping or data-entry role. The successful candidate must be capable of independently overseeing the company’s complete accounting function and turning operational activity, including work orders, vendor bills, payroll, subcontractor costs, and customer billings, into accurate financial information leadership can trust.

The position is fully remote and open to qualified Philippines-based professionals under an independent-contractor arrangement.

Key Responsibilities

*Financial Accounting and Close
Own the full accounting cycle from transaction coding through month-end and year-end close
Maintain the general ledger, chart of accounts, and accounting policies
Lead monthly, quarterly, and annual closing activities according to an established calendar
Prepare accurate trial balances and financial statements
Reconcile cash, accounts receivable, accounts payable, prepaid expenses, accrued liabilities, WIP, retainage, fixed assets, and other balance-sheet accounts
Prepare and review journal entries and investigate unusual variances before reports are released
Coordinate with external CPAs, tax advisers, auditors, and other accounting professionals as needed
Maintain accounting practices consistent with US GAAP or other company-adopted standards

*Job Costing, WIP and Project Financials
Maintain accurate job-cost records for labor, materials, equipment, subcontractors, overhead, and other direct costs
Prepare and review work-in-progress schedules
Identify underbilling, overbilling, cost overruns, missing costs, billing gaps, and potential margin risks
Ensure job costs and WIP accurately reflect the operational status of each work order or project
Partner with operations, project managers, and administration to ensure completed work, approved quotes, NTEs, customer invoices, and applicable revenue-recognition practices remain aligned
Provide actual-versus-estimate and gross-margin analysis for active and completed jobs
Communicate financial risks and discrepancies to leadership promptly

*Accounts Receivable and Billing Oversight
Oversee customer invoicing workflows to ensure completed work is billed promptly and accurately
Monitor accounts-receivable aging and coordinate follow-up on past-due balances
Reconcile customer deposits, progress billings, retainage, credit memos, and related accounts
Work with operations and administrative teams to secure the supporting documentation required for customer billing and payment

*Accounts Payable, Vendors and Subcontractors
Oversee accounts-payable intake, coding, approval routing, and payment runs
Ensure vendor and subcontractor invoices are assigned to the correct jobs or work orders
Maintain complete vendor records, payment terms, and applicable W-9 or tax documentation
Prevent duplicate payments and assist in resolving invoice discrepancies and vendor disputes

*Cash, Banking and Working Capital
Maintain clear daily and weekly visibility of cash balances, upcoming obligations, and expected receipts
Reconcile bank and credit-card accounts and clear outstanding items promptly
Prepare or support cash-flow forecasts for company leadership
Help improve working capital through effective billing, collections, and payment timing

*Payroll Coordination and Cost Allocation
Coordinate with internal or outsourced payroll providers
Ensure labor costs are allocated to the correct jobs, departments, and general-ledger accounts
Review payroll liabilities, employer taxes, benefits accruals, and related accounts for completeness
Support appropriate labor-burden and overhead-allocation methods for job costing

*Reporting, Controls and Systems
Prepare recurring management reports, including the income statement, balance sheet, cash position, AR/AP aging, job profitability, and WIP
Translate financial results into clear, practical recommendations for leadership
Design, document, and strengthen internal controls appropriate to the company’s size and operations
Maintain audit-ready records and documentation
Reconcile accounting systems, work-order or CMMS exports, and spreadsheet trackers
Identify opportunities to improve financial processes, systems, and source-data quality
Document accounting procedures to ensure continuity and consistency
Protect confidential company, financial, customer, vendor, and employee information

*Cross-Functional Partnership
Work closely with company leadership, directors, project and resource management, operations, and administration
Help operations understand job profitability, margins, cash flow, billing issues, and cost-control opportunities
Support system implementations, historical account cleanup, new entities or locations, and other special projects
Guide or train administrative staff responsible for entering bills, invoices, payroll information, or job costs

*Qualifications and Skills
Bachelor’s degree in Accounting, Finance, or a related field
Proven experience as a Controller, Assistant Controller, or Senior Accountant in construction, facilities services, field services, or another project-based business
Strong knowledge of full-cycle accounting, general-ledger management, and financial reporting
Demonstrated experience independently leading month-end and year-end close
Strong job-costing and WIP experience within a project-based or work-order environment
Working knowledge of US GAAP
Strong understanding of accounts payable, accounts receivable, cash flow, internal controls, and audit readiness
Advanced Microsoft Excel skills
Experience with QuickBooks Online/Desktop, Xero, NetSuite, or similar accounting systems
Comfortable learning work-order, CMMS, or facilities-management platforms
Excellent written and spoken English for communication with US-based stakeholders
Strong analytical skills and the ability to explain financial information clearly
High level of integrity, ownership, accuracy, and professional judgment
Able to work independently and meet strict reporting and closing deadlines
Reliable internet connection, secure workspace, and appropriate remote-working equipment

*Preferred Experience
Philippine-licensed CPA, US CPA, or equivalent professional accounting qualification
Previous experience supporting a US-based company
Accounting experience in construction, facilities services, field services, or another project-based industry
Direct experience with job costing, WIP, retainage, progress billing, labor allocation, and revenue recognition
Experience working with multiple trades, departments, entities, or locations
Experience partnering directly with company owners, executives, operations leaders, or project managers
Experience supervising, reviewing, or training accounting and administrative team members

*Schedule and Work Arrangement
Full-time; exact weekly hours and schedule to be confirmed
Fully remote and open to Philippines-based candidates
Independent-contractor engagement
Must be available for scheduled collaboration with Hawaii-based leadership
Regular overlap with Hawaii Standard Time will be required for meetings, accounting questions, month-end close, billing deadlines, and other time-sensitive matters
