Bookkeeper / Finance Manager (individual no agency)

Overview:
We're a growing home services and property maintenance company (with real estate holdings) looking for a detail-oriented, experienced bookkeeper/finance professional to manage our books, reporting, and financial oversight on an ongoing part-time basis. This is a long-term role for someone who wants consistent, recurring hours — not a one-off project.
Schedule Requirements:
Monday–Friday, approximately 3 hours/day, 9:30am–12:30pm EST (fixed hours, non-negotiable)
Two required monthly meetings outside normal hours, at 3:00pm EST:
2nd Friday of the month
4th Thursday of the month
Meetings are for presenting month-end financials to ownership P&L and Cashflow statement — attendance is mandatory, not optional
Daily:
Update bookkeeping/expense entries
Communication support
Weekly:
Call clients regarding any past-due accounts receivable: Wednesdays
Verify and submit accounts payable: Fridays
Audit receipts: Fridays
Monthly:
Update the general books
Generate monthly P&L statements for ownership review
Audit receipt charges (full monthly pass)
Update cash flow statement
Update rental property P&Ls and present findings
Reconcile all bank statements
Present month-end financials live during the two scheduled monthly meetings
Annual (Year-End):
Complete final account reconciliations across all bank, credit card, and loan accounts
Close out the year's books and prepare a clean, fully categorized Profit & Loss and Balance Sheet
Organize documentation needed for deductions (receipts, mileage, etc.)
Prepare and issue 1099s where applicable, including gathering any outstanding W-9s
Assemble a complete, organized handoff package for our CPA/tax preparer ahead of filing deadlines
Note: this role prepares the books and documentation for tax filing — it does not include filing taxes directly, which remains with our CPA
Requirements:
Must speak fluent, clear English (you'll be presenting financials live to ownership)
Prior bookkeeping/accounting experience required — QuickBooks proficiency strongly preferred
Must have real, demonstrable knowledge of both real estate accounting and home services/contracting business finances — this is not a generalist bookkeeping role
Comfortable presenting financial reports verbally, not just producing them
Reliable, consistent availability during the fixed daily window and both monthly meeting slots
Experience preparing clean, CPA-ready books at year-end (1099 prep, reconciliations, organized handoff)
Strong attention to detail — this role directly touches accounts payable, receivable, and cash flow
