About the Role

I run a UK-based creative agency working with e-commerce brands spending millions per month on ads. I need a detail-oriented finance assistant to manage both my business finances and personal finances. You'll be the person who keeps track of every dollar coming in and going out, makes sure payments are processed on time, and gives me clear visibility on my financial position at all times.

This role is part bookkeeper, part financial analyst, part personal finance manager. If you love spreadsheets, cashflow forecasting, and making sense of messy numbers — this is for you.

What You'll Do:

Business Finance:

Track all agency income across multiple clients — retainers, percentage of spend invoices, and any other revenue
Track all business expenses — editor payments, strategist payments, software subscriptions, tools, and operational costs
Calculate monthly profit and loss per client and for the agency overall
Process payments to editors, strategists, and contractors via Revolut Business (you will be added as a Team Member)
Send client invoices via Revolut Business and track payment status
Chase outstanding invoices and flag overdue payments
Calculate monthly editor payroll based on output data provided by the operations team
Maintain a clean, up-to-date financial dashboard in Google Sheets showing revenue, expenses, profit, and cash position

Personal Finance:

Track all personal income and spending across bank accounts and credit cards
Categorise every personal transaction weekly — food, dining, travel, rent, subscriptions, entertainment, transport, clothing, health, etc.
Create visual spending breakdowns — pie charts or bar charts showing where money is going each month
Flag areas where spending is too high and recommend where to cut back
Track personal net worth monthly — bank balances, investments, assets, debts
Help set and monitor monthly personal budgets

Cashflow & Forecasting:

Maintain a rolling cashflow forecast — what's coming in over the next 30, 60, 90 days based on client contracts and expected payments
Flag any upcoming cash crunches before they happen — e.g. if a big invoice hasn't been paid and payroll is due
Forecast monthly income based on current client retainers and projected ad spend percentages
Track progress towards financial targets and goals — I'll share my targets and you tell me if I'm on pace or falling behind
Model scenarios — e.g. "if I sign 2 more clients at $10K, what does my monthly P&L look like after team costs?"

Reporting:

Send a weekly financial summary every Monday — total income, total expenses, net position, outstanding invoices, upcoming payments due
Send a monthly financial report — full P&L, spending breakdown, personal vs business analysis, progress towards targets, cashflow forecast update
All reports should be visual and easy to read — charts, colour coding, clear summaries. Not walls of numbers

Requirements:

Degree in Accounting, Finance, or Business Administration
Strong Google Sheets or Excel skills — formulas, charts, pivot tables, conditional formatting, dashboards
Experience with bookkeeping, financial tracking, or management accounting
Excellent attention to detail — every number must be accurate, every transaction categorised correctly
Reliable and consistent — the weekly report must arrive every Monday without being chased
Good written English for clear communication
Comfortable handling sensitive financial information with complete confidentiality
Proactive — if you see a problem in the numbers, flag it immediately, don't wait for me to ask
Comfortable learning new tools — you will be using Revolut Business to process payments and send invoices

Strong Preference For:

Experience working with agencies, freelancers, or small businesses managing multiple income streams
Experience with Revolut Business, Stripe, Xero, or QuickBooks
Experience with cashflow forecasting and financial modelling
Experience managing multi-currency finances (USD, GBP, EUR)
Ability to create clean, visual financial dashboards and reports

Working Hours:

Flexible, but must be available for a weekly 15-minute check-in call during UK business hours (9am-5pm GMT/BST). Weekly report due every Monday by 12pm UK time. Monthly report due by the 3rd of each month.
