E-commerce Virtual Assistant – Product Listings & Supplier Notes

We are looking for a reliable and detail-oriented E-commerce Virtual Assistant to join our team for a long-term position.

Our online stores are growing quickly, and we are looking for someone who can take responsibility for our daily product listing process and supplier dashboard updates.

This is not a temporary project. We are looking for someone who wants to grow with our business, become faster and more independent over time, and eventually take full ownership of the daily listing workflow.

Your Main Responsibilities

1. Daily Product Listings

You will be responsible for adding new products to our online store every working day.

Currently, the workload is approximately:

• 15–30 new products per day
• Our short-term goal is to scale this to 40 products per day

You will work according to our existing listing guidelines and SOPs.

Tasks may include:

• Creating and publishing product listings
• Adding correct product titles and descriptions
• Adding product variants
• Adding and checking product images
• Adding materials and product information
• Processing size charts
• Checking product information from suppliers
• Following our naming and formatting standards
• Performing a final quality check before completing a listing

Accuracy is extremely important. We prefer 30 correct listings over 40 rushed listings full of mistakes.

As you become familiar with our systems and workflow, we expect your daily output to increase toward 40 products per day.

2. Daily Supplier Notes Summary

Our suppliers regularly leave important notes and updates inside our dashboard.

Every working day, you will:

• Check all new supplier notes
• Identify important issues or requests
• Create a clear daily summary
• Highlight anything that requires action or attention
• Send the summary to us at the end of your working day

The goal is simple: we should be able to understand the important supplier updates without having to check the entire dashboard ourselves.

• Reliable and consistent
• Very detail-oriented
• Comfortable working with repetitive tasks
• Able to follow detailed instructions and SOPs
• Comfortable working independently
• Good at written English
• Experienced with e-commerce or product listings
• Comfortable learning new software and dashboards
• Able to communicate clearly when something is unclear
• Interested in a long-term position

Experience with Shopify and e-commerce product listings is strongly preferred.

Fashion e-commerce experience is a big advantage.

What Success Looks Like

During the first period, we will focus on quality, accuracy and understanding our workflow.

Once you are fully trained, the target will be approximately 40 completed product listings per working day, while maintaining our quality standards.

You will also provide a clear supplier notes summary every working day.
