Operations Assistant — Football /Soccer Brands
We're a growing group of football and community sports brands — East Coast Soccer School, Football Development League, Football Hub, Coastal Sports Institute, and Full Time Baller — looking for a sharp, proactive Operations Manager to run day-to-day operations across all five brands, reporting directly to two directors.
This is not a content/social media role, that's handled separately. This is operations: owning admin, website updates, sponsorship outreach, and customer enquiries, and keeping our programs, competitions, and digital platforms running smoothly without needing to be chased.
Tools you'll work across:
- Lovable — minor website edits/updates
- Mailchimp — newsletters, sponsorship outreach
- Stripe — payment/billing admin
- Trello — task and project management
- Confluence — internal documentation
- Google Workspace — email , docs, sheets
- Jotform — sign-ups, waivers
- Messenger / Facebook / Instagram — replying to customer enquiries
- Canva — occasional flyers and one-pagers
- AI tools (Claude, ChatGPT or similar) for drafting, research, and workflow efficiency — genuine day-to-day fluency, not passing familiarity
- Own admin and operations across five entities
- Sponsorship lead generation via email outreach
- Customer enquiry handling across Messenger/Facebook/Instagram
- Newsletter sends via Mailchimp
- Soccer pitch reservations
- Minor Lovable website updates
- Trello task tracking and Confluence documentation ownership
- Flagging operational issues and proposing fixes proactively, not just executing tasks handed to you

Who this is for:
You've managed operations before, not just supported them. You're organised, smart, fast-moving, and comfortable owning outcomes across multiple brands and systems without constant direction. Confident juggling mulitple tasks. You use AI tools daily to work smarter, not as a novelty. You spot problems before they're raised and bring solutions, not just status updates.
Hours: 26 hours/week, Monday–Saturday, core hours approx 10am–2pm AEST (Sydney), flexible around program times (potential to move to full-time)
Commitment: This must be your primary job — not compatible with concurrent full-time employment elsewhere
