About the Role

Codex Virtual Assistant

AI Project Coordination & Quality Support

MS² — My Story Studio is developing an innovative application that transforms family photos, videos, voices and memories into meaningful stories, photo books and films.

A substantial part of the product is being developed with OpenAI Codex. We are looking for a careful, reliable and analytically minded Virtual Assistant who can help the founder prepare, supervise and verify this work.

Programming experience is not required.

What matters most is your ability to think logically, follow instructions accurately, maintain a clear overview and recognise inconsistencies.

Your role

You will work directly with the founder and help manage the daily collaboration with Codex.

Codex performs and explains the technical work. You ensure that assignments are properly started, monitored, documented and completed.

Your responsibilities will include:

  • Preparing clear and structured assignments for Codex
  • Ensuring that every assignment has a defined objective, scope and expected result
  • Starting Codex runs using provided instructions and templates
  • Monitoring active runs and responding when Codex requires additional input
  • Carefully reading Codex reports and completion summaries
  • Checking whether every question and requirement has been addressed
  • Comparing completed work with the original assignment
  • Identifying contradictions, missing information and unresolved issues
  • Verifying that conclusions are supported by evidence
  • Ensuring that Codex follows the agreed procedures
  • Recording decisions, progress, blockers and follow-up actions
  • Keeping planning sheets and project documentation accurate and current
  • Starting the next approved assignment when a run is complete
  • Escalating warnings, unexpected results and discrepancies to the founder
  • Maintaining a reliable overview of several parallel activities

You will receive clear procedures, checklists, templates and instructions.

Who we are looking for

You are someone who:

  • Thinks logically and analytically
  • Works in a highly structured and careful way
  • Reads instructions completely before taking action
  • Pays close attention to details
  • Notices inconsistencies that others may overlook
  • Can distinguish between facts, assumptions and conclusions
  • Asks precise questions when something is unclear
  • Follows agreed procedures consistently
  • Keeps accurate records
  • Can manage several related tasks without losing the overview
  • Communicates clearly and concisely in written English
  • Follows up reliably without needing constant reminders
  • Is curious and comfortable learning new AI tools
  • Stops and asks for guidance when instructions and actual results do not match

Experience in administration, project coordination, quality control, auditing, research, legal files, financial files or another accuracy-sensitive environment can be highly relevant.

No programming experience required

You do not need experience with Python, coding or software development.

You should feel comfortable working with:

  • Written procedures and checklists
  • Structured reports and project documentation
  • Google Sheets or similar tools
  • ChatGPT, Codex or comparable AI applications
  • English-language instructions
  • Several open applications and tasks at the same time

Training in the MS² working method and the practical use of Codex will be provided.

Working with Windows PowerShell and Azure Cloud Shell

Some assignments will involve Windows PowerShell and Microsoft Azure Cloud Shell.

You may be asked to:

  • Open Windows PowerShell or the authorised Azure Cloud Shell environment
  • Copy and run commands supplied by Codex
  • Return the complete output to Codex
  • Check that the displayed repository, branch, account, subscription or starting conditions match the instructions
  • Capture and record the requested evidence
  • Keep a session open while an authorised operation is running
  • Stop and report any warning, error or unexpected difference

Previous PowerShell, command-line or Azure experience is not required. Clear instructions and training will be provided.

You must follow the supplied commands and boundaries exactly. You may never improvise commands, expand the scope of an assignment, create cloud resources, change permissions, approve spending or perform destructive actions without explicit authorisation.

Working time and daily availability

The role involves approximately two active working hours per day.

These active hours will generally be spread across a broader agreed availability period. Codex assignments often include periods during which the system works independently. These waiting periods do not count as active working time.

You must be available at regular intervals during the agreed working day to:

  • Check the progress of active Codex runs
  • Respond when Codex requests input
  • Report questions or unexpected results
  • Record completed work
  • Start the next approved assignment

Reliable follow-up throughout the day is essential. The two active working hours will generally be divided into several shorter interventions because Codex may require input at different moments.

The precise daily availability window will be agreed before the assignment begins.

Remuneration

The remuneration is intended to combine:

  • A fixed base payment for the agreed availability and core responsibilities
  • A variable component linked to the quality, reliability and successful completion of the agreed work

The variable component will reward:

  • Careful and complete execution
  • Reliable daily follow-up
  • Accurate reporting
  • Correct use of the agreed procedures
  • Timely identification of errors, inconsistencies and blockers
  • Successful completion of approved assignments

Speed alone will not determine performance. Quality, care and reliability remain essential.

The exact fixed payment, variable component and evaluation method will be agreed before the assignment begins.

Minimum computer requirements

You must have your own reliable working equipment, including:

  • A Windows 11 computer
  • At least 16 GB of RAM
  • A modern Intel Core i5, AMD Ryzen 5 or equivalent processor
  • An SSD with sufficient free storage
  • A stable and sufficiently fast internet connection
  • A reliable webcam and headset
  • A screen setup that allows you to work comfortably with Codex, instructions, PowerShell and Google Sheets simultaneously

Two monitors are strongly preferred because several documents, shells and Codex sessions may need to remain visible at the same time.

Your computer must:

  • Be protected with a secure password
  • Use current Windows and security updates
  • Have active antivirus protection
  • Be used in a private and secure working environment
  • Never be shared with unauthorised persons while MS² accounts or information are accessible

Your contribution will come from logical thinking, careful execution, organisation and quality control. Your work will directly influence the reliability and progress of the product.

This is a remote Virtual Assistant position.
