About the Role

We are looking for a highly capable Project Coordinator / Manager with a strong interior design background to join our team. This is a hands-on role that bridges design and delivery — you will work closely with our designers, clients, and subcontractors to ensure every project is executed to the highest standard, on time and on budget.

You will be the key point of contact across all phases of a project: from design documentation and client communication through to on-site coordination and handover.

Key Responsibilities

Project Planning & Administration

  • Develop and maintain detailed project schedules, including Gantt charts and milestone tracking
  • Produce daily site reports and weekly project status reports for internal teams and clients
  • Manage project documentation including contracts, variation orders, RFIs, and submittals
  • Support contract administration including subcontractor agreements, purchase orders, and invoicing

Design Coordination

  • Read, interpret, and coordinate interior design drawings, finish schedules, and specification documents
  • Prepare and update interior renovation drawings as required (space planning, reflected ceiling plans, elevations, details)
  • Coordinate design intent across all trades to ensure alignment with the approved design

Client Communication

  • Act as the primary client liaison for design queries, progress updates, and decision-making
  • Communicate renovation details clearly and professionally, including material selections, finishes, and program changes
  • Manage client expectations and resolve issues proactively

Subcontractor & Trade Coordination

  • Scope, brief, and coordinate subcontractors across all fitout trades including:
  • Plumbing, electrical, and HVAC
  • Wall finishes (plastering, painting, tiling)
  • Flooring (timber, carpet, stone, vinyl)
  • Joinery (custom cabinetry, built-ins, millwork)
  • Bathroom and wet area renovations
  • Chair site meetings, issue minutes, and follow up on action items
  • Review subcontractor programs and coordinate sequencing across trades

Quality & Compliance

  • Conduct site inspections and ensure works are completed per design documentation and quality standards
  • Identify and manage defects, variations, and non-conformances
  • Ensure compliance with relevant building codes, OH&S requirements, and project specifications

What We're Looking For

Essential

  • Diploma or Bachelor's degree in Interior Design, Interior Architecture, or a related discipline
  • Minimum 3–5 years of experience in interior design and/or project coordination within a fitout or renovation environment
  • Strong ability to read and interpret construction and interior design drawings
  • Solid working knowledge of fitout trades: plumbing, electrical, HVAC, joinery, wet areas, finishes, and flooring
  • Experience preparing and managing Gantt charts, site reports, and project documentation
  • Confident communicator — able to engage effectively with clients, designers, and trades
  • Proficient in AutoCAD, SketchUp, or similar CAD/design software
  • Proficient in Microsoft Office Suite (Word, Excel, Project) or equivalent project management tools

Desirable

  • Experience with project management platforms (e.g. Asana, ---------- , Procore, or similar)
  • Knowledge of Australian building codes and NCC requirements
  • Experience in high-end residential or hospitality fitout
  • Working knowledge of contract frameworks (e.g. HIA, MBA, or AS4000 contracts)
