About the Role
We are a growing U.S.-based home care agency in California looking for a reliable, organized and proactive Remote Home Care Scheduler & Operations Coordinator to join our team.
This is not simply a data-entry or administrative VA position. Scheduling is a critical part of our operation. You will help ensure that our clients have the right caregivers assigned to their shifts and that scheduling issues are handled quickly and professionally.
The position will require to work Monday through Friday, during U.S. Pacific Time business hours.
Primary Responsibilities
- Coordinate and maintain caregiver and client schedules
- Match caregivers with clients based on availability, location, skills and care needs
- Find replacement caregivers when there are call-outs or schedule changes
- Communicate professionally with caregivers regarding shifts and availability
- Follow up with caregivers to confirm coverage and resolve scheduling issues
- Maintain accurate caregiver and client profiles in our scheduling system
- Monitor open shifts and proactively work to fill them
- Assist with new caregiver onboarding and recruitment activities when needed
- Maintain internal trackers, documentation and operational records
- Communicate scheduling updates clearly with the internal team
- Identify scheduling or operational problems and help improve our processes
Who We Are Looking For

- Excellent at written and spoken English
- Confident communicating by phone, text and email
- Able to stay calm when schedules change unexpectedly
- Proactive — you look for solutions rather than waiting to be told what to do
- Comfortable learning new software and systems
- Reliable and available consistently during assigned U.S. Pacific Time hours
- Interested in becoming a long-term member of a growing company
Preferred Experience
- Previous scheduling or staffing experience
- Home care, healthcare, medical staffing or caregiver scheduling experience is strongly preferred
- Experience working with a U.S.-based company
- Experience with home care scheduling software such as AxisCare is a plus
- Recruiting, onboarding or HR coordination experience is a plus
Because we are a growing company, responsibilities may evolve over time. We are looking for someone who is comfortable working in a small-business/startup environment where team members often help outside of a narrowly defined job description.
