U.S. Property & Casualty Insurance Virtual Assistant – Personal Lines
We are an established independent insurance agency in California seeking a full-time, long-term Virtual Assistant with prior U.S. Property & Casualty insurance experience.
This is primarily a back-office insurance processing and administrative position, not a sales position. You will support our licensed insurance team by handling policy servicing, mortgage requests, carrier follow-ups, documentation, and other administrative tasks.
Responsibilities
- Process and send Evidence of Insurance (EOIs)
- Communicate with mortgage companies and lenders regarding insurance requirements
- Verify and update mortgagee and loan information
- Follow up with insurance carriers, MGAs, lenders, and mortgage companies
- Check policy status, billing, cancellations, reinstatements, and renewals
- Process routine policy change/endorsement requests
- Download policies, declarations pages, invoices, inspection reports, and other documents
- Upload, label, and organize documents accurately in our agency management system
- Follow up on underwriting requirements and pending items
- Monitor assigned tasks and follow-ups to ensure nothing is missed
- Assist with renewal reviews and identify policies requiring attention
- Perform accurate insurance-related data entry
- Document all activity clearly and thoroughly
- Provide additional administrative support to our insurance team as needed
REQUIRED Qualifications
- Previous experience working for a U.S. Property & Casualty insurance agency, carrier, or insurance-related company
- Experience with Personal Lines insurance, especially homeowners and dwelling/fire policies
- Strong understanding of insurance terminology such as EOIs, endorsements, mortgagees, declarations pages, renewals, cancellations, underwriting requirements, and policy servicing
- Excellent written and spoken English
- Excellent grammar, spelling, and professional email communication
- Strong attention to detail and accuracy
- Highly organized and able to manage multiple follow-ups without constant supervision
- Comfortable making outbound calls to insurance carriers, mortgage companies, and lenders
- Reliable high-speed internet and professional work environment
- Available to work during California/Pacific Time business hours
Preferred Experience
Experience with HawkSoft agency management systems is highly desirable.
Experience working with homeowners, dwelling fire/landlord, auto, FAIR Plan/DIC, or other personal-lines policies is a major plus.
