We are a growing residential and commercial cleaning company looking for a highly capable, proactive, and reliable Business Operations & Growth Coordinator to help us grow and improve the business.
This is not a basic virtual assistant role, and it is not purely a sales position.
We already have a team member who handles much of our day-to-day scheduling, customer communication, and operations. We are now looking for another strong team member who can take ownership of important areas of the business — particularly sales follow-up, recruiting, growth initiatives, and operational improvements — while also being able to assist with scheduling and customer communication when needed.
We want someone who doesn’t just wait for a list of tasks.
We want someone who looks at the business and asks:
- What needs to happen next?
- Who hasn’t been followed up with?
- Where are we losing potential customers?
- How can we improve this process?
- How can we find better cleaners?
- What can I take ownership of?
Ultimately, we’re looking for someone who can raise the bar of the business.
WHAT YOU’LL BE RESPONSIBLE FOR
Your responsibilities will span several areas of the company.
SALES FOLLOW-UP & GROWTH
A major part of your role will be making sure we maximize the opportunities already coming into the business.
You will help:
- Follow up with residential cleaning leads
- Follow up with commercial prospects
- Call, text, and email potential customers
- Follow up on estimates and quotes
- Re-engage old leads and previous customers
- Convert one-time customers into recurring customers
- Keep our CRM and sales pipeline organized
- Make sure active opportunities always have a clear next step
- Identify leads that have fallen through the cracks
- Help prospect for new opportunities when needed
- Think strategically about how we can improve our sales process
- Test new ideas for generating and converting customers
- Identify opportunities to increase recurring revenue
This is not primarily a cold-calling position.
However, you should be comfortable picking up the phone, following up persistently, and helping close opportunities when necessary.
We don’t want someone who simply checks off “followed up with lead.”
We want someone who thinks:
“How do we turn this person into a customer?”
RECRUITING & TEAM GROWTH
Finding great cleaners is one of the most important parts of growing our company.
You will help us continuously improve our recruiting process.
This may include:
- Posting cleaning opportunities on job boards and other platforms
- Finding new sources for cleaner candidates
- Reviewing applications
- Communicating with candidates
- Conducting initial screening calls
- Scheduling interviews
- Following up with promising candidates
- Keeping our recruiting pipeline organized
- Helping onboard new cleaners
- Maintaining relationships with strong candidates
- Thinking strategically about how we can attract better cleaners
We don’t want recruiting to only happen when we’re desperate for another cleaner.
Part of your responsibility will be helping us maintain a strong pipeline of potential cleaners as the company grows.
OPERATIONS & SCHEDULING SUPPORT
We already have a team member who manages much of our daily scheduling and customer communication.
However, everyone on our team should be willing and able to step in when something needs to get done.
You may occasionally help with:
- Scheduling cleaning appointments
- Confirming appointments with customers
- Confirming jobs with cleaners
- Responding to customer texts
- Answering phone calls
- Adjusting schedules
- Handling last-minute changes
- Making sure cleaners have the correct job information
- Helping resolve customer or cleaner issues
- Covering operational responsibilities when another team member is unavailable
You should be comfortable jumping into the day-to-day business when necessary.
SYSTEMS & PROCESS IMPROVEMENT
We are constantly trying to make the company better.
We want you to notice problems and help solve them.
For example:
- If leads aren’t being followed up with properly, tell us.
- If our recruiting process is producing poor candidates, help us improve it.
- If customers keep asking the same question, suggest a better process.
- If something in our CRM is disorganized, organize it.
- If we’re doing something manually that could be automated, bring it up.
- If you think there’s an opportunity we’re missing, tell us.
You will be encouraged to think critically about how the business operates rather than simply following instructions.

If you finish your assigned work and notice 15 leads haven’t been followed up with, we want you to follow up with them.
If our recruiting pipeline is weak, we want you thinking about where else we can find candidates.
If you notice something disorganized, we want you helping organize it.
If there’s an opportunity to generate more revenue, we want you bringing it to our attention.
We don’t want someone who needs to constantly ask:
“What should I do next?”
COMMUNICATION SKILLS
Excellent spoken and written English is required.
You should be comfortable:
- Speaking naturally with U.S.-based customers
- Answering phone calls
- Calling potential customers
- Texting customers professionally
- Writing email s
- Speaking with cleaner candidates
- Handling objections
- Handling frustrated customers
- Communicating clearly with the rest of our team
You should be able to communicate naturally without sounding like you’re simply reading from a script.
U.S. WORKING HOURS & AVAILABILITY
You must be comfortable working U.S. business hours in Pacific Time (California) and maintaining a consistent schedule during those hours.
Because you will communicate with customers, leads, cleaner candidates, and our internal team, you need to be available while our business is operating.
We are looking for someone who:
- Is genuinely comfortable working U.S. hours long-term
- Can consistently maintain the agreed-upon schedule
- Is responsive throughout working hours
- Is comfortable making and receiving calls during U.S. business hours
- Does not regularly have other jobs or commitments that interfere with this schedule
- Communicates in advance if something affects their availability
Please do not apply if you are only temporarily willing to work U.S. Pacific Time hours.
Reliability and consistent availability are extremely important for this position.

COMPENSATION
This is a full-time position.
Base Pay: $600/month
Additional compensation will include:
- Sales commissions
- Performance bonuses
- Opportunities for increased compensation as your responsibilities grow

LONG-TERM OPPORTUNITY
We are looking for someone who wants to stay with us long-term.
As the company grows, there will be opportunities to take ownership of larger parts of the business and move into a more senior operations or management role.
