About the Role

We are a fast-growing Canadian security and operations company looking for a hands-on, experienced HR Coordinator who can step in immediately and take ownership of our HR function.

This is not a “build from scratch slowly” role — we need someone who already understands HR in a Canadian context and can confidently manage payroll, compliance, employee relations, and HR operations with minimal guidance.

You will work directly with leadership and play a key role in stabilizing and improving HR across the organization.

Key Responsibilities

1. Recruitment & Staffing

  • Recruit and assess top security talent for highly selective clients
  • Manage high-volume recruitment while maintaining exceptional candidate quality
  • Source, screen, and shortlist candidates using Indeed and other recruiting platforms
  • Conduct screening calls and interviews to evaluate technical ability, experience, communication skills, and cultural fit
  • Create and maintain effective tracking systems for candidates, hiring stages, follow-ups, and recruitment metrics
  • Partner with operations to efficiently deliver thoroughly vetted, client-ready candidates

2. HR Operations & Administration

  • Take full ownership of day-to-day HR functions
  • Maintain employee records and HR systems
  • Manage onboarding and offboarding processes
  • Ensure HR policies are followed and properly documented

3. Payroll & Compliance

  • Oversee payroll processing (bi-weekly)
  • Ensure compliance with Canadian employment standards (Ontario preferred)
  • Handle statutory requirements (vacation pay, stat pay, ROEs, etc.)
  • Coordinate with accounting and external providers as needed

4. Employee Relations

  • Act as the primary HR point of contact for staff
  • Handle employee issues, complaints, and disciplinary processes
  • Support terminations, performance management, and documentation

5. HR Systems & Process Improvement

  • Identify gaps and inefficiencies in current HR processes
  • Implement structure, documentation, and best practices
  • Help bring discipline and clarity to HR operations

Requirements (Non-Negotiable)

  • Strong understanding of Canadian HR practices and employment laws
  • Proven experience managing HR independently (not just support roles)
  • Experience with payroll processing and compliance
  • Ability to step in with minimal training and take ownership immediately
  • Strong communication skills (clear, direct, professional)
  • Highly organized and detail-oriented
  • Comfortable working in a fast-paced, evolving environment

Nice to Have

  • Experience supporting Canadian companies remotely
  • Background in security, staffing, or operations-heavy industries
  • Experience cleaning up or rebuilding HR processes in messy environments
