ICON Global is a U.S.-based private-travel and ground-transportation company headquartered in Palm Beach County, Florida. We coordinate secure ground travel and related services across approximately 1,000 cities worldwide for discerning travelers, executive assistants, families, private-aviation partners, hotels, and other high-touch clients.
We are building a fully remote Global Travel Coordination team in Metro Manila and seek an experienced coordinator who combines operational precision with genuine hospitality. You will help execute complex reservations and live transportation operations, protect every trip handoff, and communicate calmly when plans change.
This is not a generic virtual-assistant, call-center, or data-entry position. It is a permanent, full-time operating role within ICON's travel-coordination function.
WHAT YOU WILL DO
- Create, update, review, and quality-check ground-transportation reservations.
- Confirm passenger, flight, pickup, vehicle, chauffeur, affiliate, airport, FBO, billing-routing, and special-instruction details within the scope of the role.
- Monitor commercial and private flights, chauffeur status, and active trips; identify risks before they become client problems.
- Coordinate service recovery and escalate promptly when a chauffeur, vehicle, affiliate, flight, or itinerary changes.
- Communicate by phone, email , and business messaging with clients, executive assistants, travelers, chauffeurs, affiliates, and hospitality partners.
- Maintain complete notes, handoffs, audit trails, and operational reports.
- Follow ICON standards while applying sound judgment under time pressure.
REQUIRED BACKGROUND
- At least two years of hands-on reservations, dispatch, trip operations, or live service coordination in U.S. chauffeured transportation, NEMT, private aviation/FBO operations, corporate travel, luxury hotel reservations/concierge, or similarly complex premium travel operations.
- Experience supporting U.S. customers in a real-time operating environment.
- Direct chauffeured-transportation and Limo Anywhere experience are strongly preferred.
- Generic BPO or call-center experience alone does not meet the requirement.
- Advanced professional English for live calls and written communication with demanding U.S. and international clients.
- Strong listening comprehension, accuracy, composure, discretion, telephone confidence, prioritization, and follow-through.
- Verifiable employment history and professional references.
REMOTE-WORK AND SCHEDULE REQUIREMENTS
- Residence in Metro Manila and a private, quiet, professional home workspace.
- Reliable primary internet, an independent backup connection, and practical power continuity.
- Regular post-training schedule: Friday-Tuesday, 12:00 a.m.-9:00 a.m. U.S. Eastern Time. This generally corresponds to Friday-Tuesday, 12:00 p.m.-9:00 p.m. Philippine Time during U.S. daylight-saving time and 1:00 p.m.-10:00 p.m. during U.S. standard time.
- The nine-hour span includes an unpaid meal period and eight working hours, subject to final employer documentation.
- Reasonable schedule adjustments may occasionally be required for paid training, operational coverage, daylight-saving transitions, or business needs, with advance notice when practicable and in accordance with Philippine law and the employment agreement.
- Availability for weekends and applicable Philippine holidays that fall on the assigned schedule.
- Willingness to work a temporary paid training schedule with greater overlap with ICON's U.S. team. Exact training days and hours will be provided before acceptance.
COMPENSATION AND EMPLOYMENT
- PHP 50,000-65,000 gross monthly base salary, based on directly relevant experience and demonstrated capability.
- Full-time Philippine employment through ICON's selected local employment partner, with statutory benefits, 13th-month pay, required schedule premiums, and compliant local payroll.
- ICON intends to provide employee HMO coverage, paid vacation and sick leave, and company-managed work equipment. Final benefit and leave details will be confirmed in the written offer.
- Paid training and a structured path for growth through demonstrated operating mastery. This position does not carry automatic managerial authority.
SELECTION PROCESS
The structured process includes application and resume review, short written responses, an unedited audio work sample, interviews, a paid fictional operating simulation for finalists, references, and background and identity verification. No real client information is used in the simulation.
