About the Role

We are looking for an experienced, highly organized, and proactive Short-Term Rental Operations Manager to oversee the day-to-day operations of our growing vacation rental business.

This is a management and ownership role, not simply an administrative or guest messaging position.

You will be responsible for making sure our properties, guests, cleaners, maintenance vendors, and internal team are all operating smoothly. You will identify problems before they become bigger issues, create better systems and processes, and make sure tasks are completed properly and on time.

KEY RESPONSIBILITIES

🏠 PROPERTY OPERATIONS

  • Oversee daily operations across multiple short-term rental properties
  • Monitor reservations, check-ins, check-outs, and turnovers
  • Ensure every property is properly prepared before guest arrival
  • Monitor cleaning quality and turnover performance
  • Coordinate maintenance, repairs, inspections, and property issues
  • Track recurring property maintenance and operational needs
  • Identify operational issues and ensure they are resolved promptly
  • Maintain property standards and operational checklists

  • Approve pricing when appropriate
  • Follow up on incomplete or delayed work
  • Manage the STR VA/team and make sure responsibilities are clearly assigned and completed

  • Oversee guest communication and ensure timely responses
  • Monitor guest issues, complaints, and special requests
  • Make sure the team handles guest concerns professionally and efficiently
  • Step in to resolve escalated or urgent guest issues
  • Review guest feedback and identify opportunities to improve the guest experience
  • Help maintain strong ratings and reviews across booking platforms

  • Create, maintain, and improve SOPs and operational processes

  • Able to stay calm when unexpected problems happen

STR EXPERIENCE IS STRONGLY PREFERRED

  • Previous experience managing Airbnb, Vrbo, vacation rentals, or short-term rental operations is strongly preferred.

Experience with platforms such as:

  • Airbnb
  • Vrbo
  • Hospitable
  • Turno
  • Google Workspace
  • Slack
  • Notion
  • Other property management or task management systems

is a major plus.

THIS ROLE REQUIRES OWNERSHIP

We are not looking for someone who simply waits for instructions.

If you see a problem, you own the problem until it is resolved.

For example:
> A property is scheduled to check in at 3 PM. At 10 AM, the cleaner reports that there is a plumbing issue and the property may not be ready.

We expect you to immediately assess the situation, coordinate with maintenance, determine the expected timeline, communicate with the appropriate people, arrange alternatives if necessary, update the guest/team, and make sure the issue is fully resolved.

You should be someone who thinks:
β€œWhat needs to happen next, and who needs to handle it?”
β€”not someone who waits to be told what to do.

HOW WE MEASURE SUCCESS

Success in this role means:

  • Properties are consistently guest-ready
  • Turnovers happen smoothly and on schedule
  • Guest issues are handled quickly
  • Vendors are reliable and held accountable
  • Team members complete their responsibilities
  • Problems are identified before they become emergencies
  • SOPs and systems continuously improve
  • Operational costs are controlled
  • Owners receive timely and accurate updates
  • The business can grow without operations becoming chaotic

WORKING HOURS - US hours but specific schedule will be discussed during the interview. Because short-term rental operations are time-sensitive, you must be available to handle urgent operational issues during scheduled working hours.
