Job Title: Full-Time Business Manager
Location: Remote
Schedule: 40hrs/week, Monday to Friday from 9 AM – 6 PM Queensland Time (inclusive of 1-hour unpaid lunch)
Overview:
We’re looking for an experienced Business Manager to take ownership of the systems, processes, automation, and day-to-day operational workflows that keep the business running efficiently.
This is a hands-on role for someone who is highly organised, systems-minded, and confident using AI and automation to improve business processes. You’ll work closely with the business owner and team to identify inefficiencies, build better workflows, maintain systems, and ensure tasks and information move smoothly across the business.
Key Responsibilities:
Own and manage business systems, ensuring key platforms, workflows, and processes are organised, up to date, and working effectively
Manage GoHighLevel (GHL), including CRM pipelines, contacts, tags, custom fields, calendars, funnels, forms, and reporting
Build and optimise GHL workflows and automations for lead management, follow-ups, email /SMS campaigns, and customer journeys
Identify opportunities to use AI and automation to reduce manual work and improve business efficiency
Build and maintain AI-powered workflows and agents using tools such as ChatGPT, Claude, and Gemini
Manage projects and tasks in ---------- or Asana, ensuring deadlines, priorities, and follow-ups are clearly tracked
Create, update, and maintain SOPs so processes are documented, consistent, and easy for the team to follow
Keep company systems, files, documents, and information organised and ensure nothing falls through the cracks
Monitor ongoing projects and initiatives, proactively following up with team members and identifying what needs to happen next
Support launches, webinars, events, and other business initiatives, ensuring the required systems, workflows, and tasks are prepared and completed
Use AI tools to improve everyday operations, including research, documentation, content repurposing, analysis, and problem-solving
Research and recommend new AI tools and technologies that could improve existing processes or eliminate unnecessary manual work
Troubleshoot system and workflow issues and find practical solutions with minimal supervision
Provide proactive updates to the business owner, flagging issues, upcoming deadlines, and opportunities before they become problems
Take ownership of outcomes, ensuring tasks discussed or assigned are followed through to completion without requiring constant follow-up
Qualifications:
3+ years of experience in operations, systems management, business administration, or a similar role
Strong experience managing business systems, workflows, and processes
Hands-on experience using AI tools and automation to improve business operations
Strong understanding of project management and workflow management
Experience creating SOPs, process documentation, and internal systems
Highly organised with excellent attention to detail
Strong analytical and problem-solving skills
Proactive and able to identify improvements without being asked
Comfortable learning and implementing new software quickly
Excellent written and verbal English
Experience supporting Australian businesses or international teams is highly regarded
