Operations Lead, Tax + Bookkeeping Delivery (TaxDome) for US/Canadian CPA Firm | $2,000-$2,700/mo + 13th Month | Run the Engine

We're a fast-growing cross-border CPA firm (US + Canadian clients) hiring the person who will run our delivery engine. This is the #2 seat in the firm, reporting straight to the founder, a dual-licensed US/Canadian CPA. It is a real operator role, not a VA role with a big title.

1. Top-of-market pay, stated up front: $2,000-$2,700 USD per month depending on experience, plus 13th month, a health (HMO) allowance after your first 3 months, and paid leave. Twice monthly via Wise, always on time. Raises are written into the plan at 6 and 12 months.

2. You'll run an AI-driven operating system, not build one from nothing. The firm already runs on AI-prepared drafts, documented runbooks, automated dashboards, and quality gates. Your job is to operate and improve the machine, with full access to the same AI tools the founder uses. This is a rare seat: most ops roles manage people and spreadsheets; you'll manage people, spreadsheets, and a fleet of AI workflows.

3. The growth path is explicit. The firm is scaling from solo practice to a team. You're hire #2. As the team grows, everyone on delivery reports to you, and the seat grows into running the firm's day-to-day operations end to end: hiring, training, supervising, and the systems behind all of it. We'd rather promote the person who built the engine than hire over them.

WHAT YOU'LL OWN

• The delivery board: every client engagement's status, SLAs, and deadlines
• TaxDome: pipelines, tasks, document requests, e-signatures, client portal hygiene
• Client follow-ups and document chasing (from templates and AI drafts; excellent written English required)
• Filing mechanics: assembling e-file packages, tracking acceptances, mail/fax logistics
• The daily dispatch: running AI workflows that prepare analyses, drafts, and reports for the founder's review
• Work assignment and quality tracking as the team grows under you

YOU'RE A FIT IF YOU HAVE

• 3+ years in operations or team-lead roles INSIDE an accounting or tax firm (or a BPO team that served accounting firms). This is required, not preferred: you'll be reading tax returns, engagement letters, authorization forms and IRS/CRA notices every day, and you need to know what they are and what looks wrong
• Enough tax and accounting literacy to catch an output that doesn't match the client's facts before it reaches the founder; you don't prepare returns, but you can read one
• A systems brain: you think in checklists, pipelines, and SLAs, and it physically bothers you when a commitment date passes silently
• Excellent written English; you'll draft client-facing messages daily
• Comfort learning software fast (TaxDome, Drake, QBO or Xero experience is a real plus)
• Genuine curiosity about AI tools; you'll use them all day

SCHEDULE: US Eastern business hours (roughly 9am to 5pm ET). This is the seat clients and the founder reach during the day, so it runs on the US clock. Night shift by Philippine time, and the pay reflects it.
