Legal Intake Specialist – Personal Injury Law Firm

CIG Law is a growing U.S. personal injury law firm looking for a sharp, confident, and highly communicative Legal Intake Specialist to join our team.
This is not a purely administrative role.
You will be one of the first people prospective clients speak with, so we are looking for someone who can communicate clearly, build trust quickly, ask the right questions, and follow up consistently.
What You’ll Do
Answer inbound calls from prospective clients
Conduct outbound follow-up with leads
Speak with potential personal injury clients professionally and empathetically
Gather detailed information regarding a ---------- , injuries, treatment, insurance, and relevant case facts
Determine whether the lead meets the firm’s basic intake criteria
Follow up with prospective clients who have not yet retained the firm
Assist qualified clients through the sign-up process
Ensure signed clients provide required onboarding documents
Collect and organize:
Signed retainer documents
HIPAA authorizations
Government-issued identification
Health insurance information/cards
A ---------- information
Insurance information
Initial treatment/provider information
Photos and other documents provided by the client
Maintain accurate and detailed notes in the CRM
Update lead statuses and follow-up activity
Escalate strong, complex, or potentially high-value cases when appropriate
Maintain consistent communication until a lead is signed, declined, or otherwise resolved
What We Are Looking For
Experience is valuable, but we are especially interested in people with the right personality and communication skills.
You should be:
Fluent in spoken and written English
Extremely comfortable speaking on the phone
Confident without sounding aggressive
Warm and personable
Sharp and quick-thinking
Able to listen carefully and ask good follow-up questions
Organized and detail-oriented
Persistent with follow-up
Comfortable speaking with people who may be injured, stressed, or frustrated
Able to remain professional during difficult conversations
Coachable and willing to improve
Reliable and accountable
Comfortable working in a fast-growing environment
Preferred Experience
We strongly prefer applicants with experience in one or more of the following:
U.S. personal injury law
Legal intake
Law firm client intake
Sales or client conversion
Call center or high-volume phone work
CRM systems
Remote work with U.S.-based companies
Prior personal injury intake experience is a major advantage, but exceptional candidates with strong communication and sales ability are encouraged to apply.
