AI Systems & Automation Engineer — Build Our AI Workforce
About the Role
We are looking for a highly skilled AI Systems & Automation Engineer to help us design, build, and continuously improve an AI-powered operating system across our businesses.
This is NOT a basic VA position.
This is NOT simply a Zapier or ChatGPT position.
We are looking for someone who understands AI agents, automation, APIs, integrations, business processes, and systems architecture and can use those skills to make our companies more efficient.
Our goal is to build an AI workforce—AI agents and automated systems that work alongside our human team, eliminate unnecessary manual work, connect our applications, improve accountability, and allow our companies to scale more efficiently.
What You’ll Be Responsible For
You will help us:
- Build AI agents/“AI employees” capable of performing specific business functions
- Connect multiple applications so information flows seamlessly throughout the organization
- Build advanced automations using tools such as n8n, Make, Zapier, APIs, and webhooks
- Integrate AI models such as OpenAI and Claude into our business workflows
- Build systems that can analyze information, make decisions based on defined rules, take approved actions, and escalate situations to humans when necessary
- Integrate AI and automation with our CRM, especially GoHighLevel
- Create automated reporting and KPI systems
- Build databases and knowledge systems that AI agents can access
- Build internal AI assistants that understand our SOPs, processes, training, and company knowledge
- Monitor automations and identify failures before they become larger business problems
- Troubleshoot, maintain, and continuously improve existing automations
- Document systems so they are understandable and maintainable
VERY IMPORTANT: You Must Be Proactive
We are NOT looking for someone who waits for us to identify every automation that needs to be built.
A major responsibility of this position will be to learn our business and proactively identify where AI and automation can improve it.
You should be able to study our departments, workflows, software, and processes and tell us:
“You’re currently using three people and five manual steps to accomplish this. We can automate 70% of this process, connect these systems, and have an AI agent handle these responsibilities.”
You will be expected to:
- Audit existing workflows and technology
- Identify repetitive manual work
- Identify bottlenecks between departments
- Identify areas where information is being entered multiple times
- Identify where applications should be connected
- Recommend where AI agents could replace, assist, or enhance existing processes
- Recommend new AI tools and technologies when appropriate
- Estimate potential time and cost savings
- Prioritize projects based on business impact
- Build the approved solutions
- Measure whether the automation actually improved the business
We want someone who doesn’t just ask:
“What do you want me to build?”
We want someone who also asks:
“Why are you doing it this way, and is there a better way to accomplish this with AI?”
Examples of AI Employees We Want to Build
Some potential projects include:
AI Operations Assistant
Monitors workflows, deadlines, assignments, and incomplete tasks and alerts leadership when something requires attention.
AI Reporting & KPI Analyst
Pulls information from multiple systems, analyzes performance, identifies trends/problems, and automatically provides management reports.
AI Lead Qualification Agent
Analyzes incoming leads, scores them, updates the CRM, assigns them appropriately, and initiates the correct follow-up process.
AI Follow-Up Agent
Tracks leads and tasks and automatically triggers appropriate follow-up when action has not occurred.
AI Recruiting Assistant
Helps screen applicants, analyze qualifications, organize candidates, schedule interviews, and maintain recruiting pipelines.
AI Marketing Analyst
Analyzes marketing data across platforms and identifies performance trends, opportunities, and potential problems.
AI Quality-Control Agent
Reviews processes, records, or completed work against established standards and flags potential issues for human review.
AI Knowledge Assistant
Allows employees to ask questions and receive answers based on our company’s SOPs, training, policies, and internal knowledge.
These are examples. We expect the person in this position to identify additional opportunities.

We care more about your ability to understand a business problem, design the right solution, and figure out how to build it.

6. Give us an example of a business process where YOU identified the opportunity to automate it rather than the company telling you exactly what to build.
This question is extremely important to us.
REQUIRED: Loom Video
Please submit a 3–5 minute Loom video showing us an actual AI or automation system you personally built.
Do not just describe it.
Share your screen and show us:
- The workflow
- The applications being connected
- The automation logic
- Where AI is being used
- How data moves through the system
- How errors/failures are handled
- What business problem the system solved
Applications without a Loom demonstration may not be considered.
Final Challenge
At the end of your application, briefly explain how you would approach this scenario:
We receive leads from multiple marketing sources into GoHighLevel.
We want AI to analyze and score each lead, determine which team member should receive the lead, update the CRM, assign the lead, trigger the appropriate communication, track whether the assigned person follows up, automatically initiate additional follow-up when appropriate, and provide management with reporting showing lead source, appointments, conversions, team performance, and potential problems.
Do not build it. Simply explain how you would architect the system.
We’re not looking for someone who simply knows AI tools.
We’re looking for someone who can help us build the AI infrastructure that makes our entire company operate better.
