In this role, you will work directly with me, the Founder and CEO of Boulder Pro Painters. You will help manage customer communication, lead qualification, scheduling, follow-up, marketing support, and the daily organization of the business.
This is an important long-term role. You will have the opportunity to learn how the business operates, develop your skills, take ownership of increasingly important responsibilities, increase your hours, and potentially grow into our Office Manager as both you and the company grow.

Your Role and What You’ll Be Doing

This role is a large part of creating that experience.
Here are some of the things you’ll be doing regularly:
- Answering the company phone line. In this business, it’s important that when customers call, someone answers or responds promptly.
- Making initial calls to customers who have requested an estimate.
- Asking thoughtful qualification questions to understand the customer’s goals, project, location, timeline, and expectations.
- Following up with customers who have requested an estimate and setting appointments for me to meet with them and provide estimates.
- Managing estimate appointments in my calendar.
- Confirming appointments and handling cancellations and rescheduling requests.
- Following up with leads who have not responded or scheduled an appointment.
- Following up with customers who received an estimate but have not made a decision.
- Managing our social media pages and posting daily. This includes posting on our Facebook and Instagram pages and maintaining our Google Business Profile.
- Managing some of our online marketing channels by responding promptly and professionally to potential customers.
- Responding to customer comments, messages, and inquiries received through our social media and online platforms.
- Updating our CRM and lead tracker with accurate customer information, notes, appointments, and follow-up activities.
- Keeping my calendar and daily priorities organized.
- Sending appointment confirmations, reminders, and routine customer communications.
- Supporting me with administrative responsibilities and the daily organization of the business.
As You Grow in the Role
As you learn our processes and demonstrate your ability to take ownership of your responsibilities, you will have the opportunity to take on additional responsibilities, including:
- Reconnecting with old leads who may still need painting services.
- Reconnecting with past customers about future projects.
- Requesting customer reviews and referrals.
- Reaching out to property managers, real estate agents, designers, and other potential referral partners.
- Supporting customers after their project is approved.
- Sending routine project updates and helping customers understand the next steps.
- Tracking outstanding customer decisions, colors, scheduling details, and project information.
- Helping improve our call scripts, communication processes, and internal systems.
- Preparing simple lead, estimate, appointment, and follow-up reports.
- Helping organize customer information, company files, and routine administrative records.
- Taking ownership of additional office management responsibilities as the company grows.

Previous experience in inside sales, customer service, appointment setting, office administration, social media support, or supporting a United States-based company is preferred.
Experience with a home service company, Google Workspace, GoHighLevel, CRM systems, scheduling software, Facebook , Instagram, or Google Business Profile is helpful but not required.
We are willing to train the right person. Your attitude, communication skills, attention to detail, reliability, willingness to learn, and ability to take ownership matter more to us than checking every experience box.
Compensation and Job Details
- This is a remote, long-term position for candidates located in the Philippines.
- The position will begin with a paid 30-day introductory and training period of approximately 20 hours per week.
- Initial working hours will generally be Monday through Friday from 8:00 a.m. to 12:00 p.m. Mountain Time.
- The current corresponding schedule in the Philippines is approximately 10:00 p.m. to 2:00 a.m.
- The position is intended to increase to 30 to 40 hours per week within approximately 30 to 60 days as training is completed, performance is demonstrated, and additional responsibilities are transferred.
