About the Role
We are a growing, family-owned U.S. firm with approximately 10 LLCs and multiple business entities. We are seeking an experienced Senior Accountant / Controller to take ownership of the day-to-day accounting and financial operations across our companies.
This is a hands-on, high-responsibility position and the successful candidate will be the sole internal accounting professional for the firm. You will work closely with company ownership, our financial advisor, and our tax team to ensure our books are accurate, current, organized, and properly maintained.
This is not a basic bookkeeping position. We are looking for an experienced accounting professional who understands U.S. accounting practices, can independently manage multiple sets of books, and is comfortable taking ownership of the full accounting cycle.
The ideal candidate is highly detail-oriented, exceptionally organized, proactive, trustworthy, and capable of managing multiple priorities and deadlines with minimal supervision.
Key Responsibilities
Multi-Entity Accounting & Bookkeeping
Serve as the primary accounting professional for approximately 10 U.S. LLCs and business entities.
Independently maintain multiple sets of books and ensure each entity's financial records are accurate, complete, and current.
Perform weekly bookkeeping and maintain all accounting activity in QuickBooks Online (QBO).
Maintain and manage the general ledger for each entity.
Perform bank, credit card, and other account reconciliations.
Properly categorize and record financial transactions across multiple entities.
Identify discrepancies, unusual transactions, and errors and take appropriate action to resolve them.
Ensure intercompany transactions and transfers are properly recorded when applicable.
Maintain organized supporting documentation for accounting transactions.
Keep books clean and current throughout the year to support financial reporting and tax preparation.
Accounts Payable & Vendor Payments
Manage the complete accounts payable process.
Review, code, and process vendor and contractor invoices.
Schedule and make payments to vendors, contractors, and other service providers.
Maintain accurate vendor records and payment documentation.
Monitor outstanding payables and ensure payments are made accurately and on time.
Communicate professionally with vendors and contractors regarding invoices, payments, and account questions.
Accounts Receivable, Invoicing & Billing
Manage the complete accounts receivable and billing process.
Prepare and issue client invoices accurately and on schedule.
Track outstanding receivables and follow up on past-due balances.
Apply payments and maintain accurate customer records.
Investigate and resolve billing discrepancies.
Communicate professionally with clients regarding billing and payment questions.
Maintain accurate billing records across multiple entities.
Payroll
Manage weekly payroll accurately and on time.
Review payroll information and supporting documentation prior to processing.
Ensure payroll-related accounting entries are properly recorded.
Maintain accurate payroll records.
Coordinate with payroll providers and management as needed.
Identify and communicate payroll discrepancies or issues promptly.
Monthly Financial Reporting
Prepare accurate monthly Profit & Loss (P&L) statements and financial reports for each entity.
Complete monthly account reconciliations and ensure books are properly maintained for month-end reporting.
Review financial statements for unusual variances, errors, or inconsistencies.
Provide management with timely and accurate financial information.
Assist with cash-flow tracking, budgeting, forecasting, and financial analysis as needed.
Prepare supporting schedules and reports for management, our financial advisor, and tax team.
Tax & External Accounting Support
Work closely with the firm's financial advisor and tax team.
Provide accurate financial records, reports, reconciliations, and supporting documentation as requested.
Assist with year-end close and tax preparation.
Respond to accounting-related questions from external advisors and tax professionals.
Ensure books and records are maintained in a condition that supports an efficient year-end tax process.
Accounting Processes & Controls
Maintain organized and efficient accounting procedures across the company's entities.
Identify opportunities to improve accounting processes, reporting, and internal controls.
Maintain appropriate documentation and approval processes for financial transactions.
Proactively identify potential accounting issues and bring them to management's attention.
Help ensure financial transactions are properly documented, reviewed, and recorded.
Required Qualifications
Education & Experience
Bachelor's degree in Accounting, Finance, or a related field — required.
Minimum 3–5 years of progressive accounting experience — required.
Hands-on experience working with U.S.-based companies and U.S. accounting practices — required.
Demonstrated experience managing multiple companies, LLCs, or sets of books simultaneously — required.
Experience independently managing full-cycle accounting responsibilities.
Experience working with multi-entity accounting is strongly preferred.

Strong hands-on experience with QuickBooks Online (QBO) — required.
Advanced/proficient Microsoft Excel skills — required.
Advanced/proficient Google Sheets skills — required.
Comfortable working with large amounts of financial data and complex spreadsheets.
Strong understanding of formulas, lookups, PivotTables, filtering, sorting, and other spreadsheet functions used for accounting and financial analysis.
Comfortable learning and working with new software and cloud-based systems.

Work Schedule
This is a full-time remote position supporting U.S.-based businesses.
Monday–Friday, 6:00 AM–3:00 PM Pacific Standard Time (PST).
Consistent availability during these hours is required. The position involves regular communication with U.S.-based management, advisors, vendors, and other business contacts.
