Senior Part-Time Transaction Coordinator — Real Estate Wholesaling
We are seeking an experienced, highly organized Transaction Coordinator to support our residential real estate wholesaling operations in Washington and Texas.
This is not an entry-level position. Applicants must have at least five years of hands-on transaction-coordination experience with a U.S.-based real estate wholesaling or investment company. Conventional real estate brokerage experience by itself does not satisfy this requirement.
Schedule
- Part-time: four hours per day
- Monday through Friday
- Approximately 20 hours per week
- Must work during agreed-upon Pacific Time business hours
- Target start date: September 10, 2026
- Long-term position for the right candidate
Primary Responsibilities
- Manage wholesale transactions from executed purchase agreement through closing
- Open title and escrow files promptly and submit complete transaction packages
- Prepare and send approved purchase agreements, assignment agreements, addenda, extensions, amendments, and related documents
- Track earnest money, inspection periods, closing dates, contingencies, signatures, and other critical deadlines
- Coordinate with sellers, cash buyers, acquisition managers, disposition managers, title companies, escrow officers, attorneys, and internal leadership
- Follow up consistently on outstanding title requirements and closing conditions
- Maintain accurate transaction stages, notes, documents, and tasks inside GoHighLevel
- Monitor buyer deposits, proof of funds, assignment documents, access arrangements, and closing confirmations
- Identify and immediately escalate issues involving probate, trusts, powers of attorney, deceased owners, liens, judgments, occupancy, missing signatures, or title defects
- Provide professional and timely updates to sellers and buyers
- Maintain an organized transaction checklist and electronic file for every property
- Deliver a daily written report showing completed tasks, approaching deadlines, and unresolved blockers
- Support the company’s existing Transaction Coordinator and Sales Operations Manager
Required Qualifications
- At least five years of hands-on transaction-coordination experience with U.S. real estate wholesalers or investors
- Demonstrated experience with assignment transactions, cash purchases, double closings, title companies, and escrow
- Experience managing multiple active transactions simultaneously
- Strong understanding of purchase agreements, assignment agreements, addenda, earnest money, title commitments, settlement statements, and closing timelines
- Excellent written and spoken English
- Strong follow-up, documentation, and deadline-management skills
- Ability to recognize transaction risks and escalate problems before they delay a closing
- Professional experience communicating directly with sellers, buyers, title companies, and attorneys
- High attention to detail and ability to work independently
- Reliable high-speed internet, quiet workspace, and backup internet or power
- Willingness to complete a paid skills assessment and provide professional references

- Washington or Texas real estate transactions
- Probate, inherited-property, trust, and power-of-attorney transactions
- Occupied properties and cash-for-keys coordination
- Creating transaction checklists and standard operating procedures

- All new files opened with title or escrow on the same business day
- No missed contractual deadlines
- All outstanding signatures and documents actively tracked
- Material title or legal issues escalated within one business day
- Every transaction record kept complete and current
- Professional and timely communication with internal and external parties
- Daily visibility into every transaction’s status, next action, responsible party, and blocker
