Medical Records QA + Patient Coordinator - US practice, long-term, $1,500/mo

We are a small physician-owned pain management practice in New York. Most of our patients were injured in car a ---------- , so their medical records go to insurance companies and to lawyers. If a document is missing from a patient's chart, the practice does not get paid for that visit - and there is a 45-day deadline.
Right now, things fall through. Notes get written and never filed. A patient's date of a ---------- is recorded one way in one place and another way somewhere else. Two different patients turn out to share a name and a birthday. Nobody notices until it is late.
Your job is to be the person who notices.
WHAT YOU WILL ACTUALLY DO
- Work through a daily list of chart errors and missing documents, and clear it
- Open patient charts in our EMR and verify what is actually in them - not what a report says is in them
- Chase what is missing: call the physical therapy office, call the patient, call the lawyer's paralegal
- Keep a written record of what you checked and what you found
- Escalate the small number of things only the doctor can d ---------- , and never guess on those
YOU MUST HAVE
- Spoken English clear enough that a New York paralegal understands you the first time, on a cell phone
- Written English good enough to send a professional email with nobody editing it
- Real comfort with computers - spreadsheets, web applications, PDFs, keyboard shortcuts. You should be the person your family calls
- Genuine attention to detail. This job is largely noticing that two things which should match, don't
- The confidence to phone a stranger and ask them for something
- The judgment to tell the difference between a mistake you can fix and a mistake you must escalate
- Reliable power and internet, and a quiet place to take calls
NICE TO HAVE
US medical records, medical billing, no-fault or workers' compensation experience, Tebra or Kareo. We will teach you the medical side. We cannot teach diligence.
HOURS AND PAY
40 hours a week, of which at least 5 must fall between 9:00 AM and 5:00 PM New York time, because of the phone calls.
$1,500 per month, paid twice monthly, plus 13th month pay in December. Reviewed at six months.
This is long-term.
ABOUT THE DATA
This role handles US patient health information. You will be trained on HIPAA, you will sign a confidentiality agreement, and you will be given your own named logins. You will never be asked to share an account.

3. If our workday starts at 9:00 AM in New York, what time is that where you are, today? Would your answer be the same in January? Explain in one sentence.
