ACCOUNTANT OR ADMINISTRATIVE ASSISTANT

We are looking for an organized, trustworthy, and proactive professional based in the Philippines to support the accounting, payroll, staffing, HR, and administrative operations of a U.S. healthcare company.
An accounting background is strongly preferred. The ideal candidate is detail-oriented, comfortable reviewing financial records, and able to manage multiple responsibilities with minimal supervision.
WORKING HOURS: Must be available during agreed-upon U.S. Pacific Time hours
KEY RESPONSIBILITIES:
- Collect, review, and organize payroll information, including timesheets, completed visits, employee and contractor rates, and reimbursements
- Prepare payroll summaries for management review and approval
- Maintain accurate payroll and payment records
- Review vendor invoices, recurring bills, subscriptions, and company expenses
- Identify duplicate invoices, payments, subscriptions, charges, and company accounts
- Maintain a bill-payment calendar to prevent missed or late payments
- Prepare vendor payments for management approval and document completed payments
- Reconcile invoices, payments, receipts, and vendor statements
- Maintain financial reports and expense trackers
- Assist with budget monitoring and basic cash-flow tracking
- Assist with recruiting, screening, hiring, and onboarding employees and contractors
- Prepare offer letters, agreements, contracts, and onboarding documents using approved templates
- Maintain confidential employee and contractor records
- Coordinate staffing and schedule nurses and clinicians for field assignments
- Schedule and track orientation and competency assessments
- Maintain clinician credentialing files, including licenses, certifications, background checks, health documents, insurance, and expiration dates
- Follow up on missing, incomplete, or expiring credentials
- Communicate professionally with applicants, employees, clinicians, vendors, and management
- Provide regular reports on payroll, bills, payments, staffing, credentialing, and pending tasks
- Improve administrative trackers, checklists, and internal workflows
- Protect confidential employee, patient, payroll, and financial information
QUALIFICATIONS:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is preferred
- Accounting or bookkeeping experience is strongly preferred
- Experience with payroll preparation, accounts payable, expense tracking, invoice review, and financial reconciliation
- Experience with HR, recruitment, onboarding, staffing, or credentialing is an advantage
- Experience with a U.S.-based healthcare, home health, hospice, staffing, or medical company is strongly preferred
- Strong Excel and Google Sheets skills
- Experience with QuickBooks or similar accounting software is preferred
- Excellent written and spoken English
- Strong professional writing and document-preparation skills
- Exceptional attention to detail and ability to identify discrepancies
- Highly organized, dependable, responsive, and able to work independently
- Able to manage deadlines and follow up consistently without reminders
- Trustworthy when handling confidential financial and personnel information
- Reliable computer, stable internet connection, and private workspace
Certified Public Accountants and applicants with U.S. accounting, healthcare staffing, credentialing, payroll, or accounts-payable experience are highly encouraged to apply.
