About the Role

ECLAT HOLDINGS is seeking a capable, curious, and highly reliable Executive Virtual Assistant to work directly with its Commercial Director.

LOCATION
Fully remote

SCHEDULE
Monday–Friday, 7:00 AM–4:00 PM Philippine Time
Lunch: 12:00–1:00 PM
40 hours per week

START DATE
As soon as possible

COMPENSATION
₱90,000 every two weeks
26 payments / ₱2,340,000 annually
Full compensation applies from the first day.

ABOUT THE ROLE

The Commercial Director is responsible for introducing and promoting international architectural and interior-design materials and furniture in the Korean market. This includes developing relationships and arranging meetings with architects and interior designers in Korea.

Your primary role will be to help the Commercial Director:

  • Arrange and coordinate meetings with architects and interior designers in Korea.
  • Maintain accurate records of meetings and follow-up activities.
  • Track the progress and results of these meetings.
  • Help report this progress to the headquarters of each represented brand.

This is a full-time position for someone with demonstrated executive-assistance experience and professional experience in architecture, interior design, construction, furniture, or a closely related field.

KEY RESPONSIBILITIES

  • Manage the Commercial Director’s schedule and calendar.
  • Arrange, confirm, and enter meetings with Korean architects and interior designers into the calendar.
  • Send meeting-request email s prepared or approved by the Commercial Director.
  • Write short, professional email s to coordinate meeting times with clients.
  • Follow up on proposed meetings and accurately track confirmations, cancellations, and rescheduling.
  • Convert the Commercial Director’s recorded meeting notes into clear, organized meeting minutes.
  • Enter meeting notes, contact information, progress updates, and follow-up activities into assigned C4C/CRM systems.
  • Track the progress and results of meetings with architects and interior designers.
  • Prepare structured updates and reports for the headquarters of each represented brand.
  • Help keep brand headquarters informed of meetings, market responses, opportunities, and follow-up progress.
  • Conduct research on Korea’s architecture, interior-design, construction, materials, and furniture markets using ChatGPT and other appropriate sources.
  • Turn research findings into clear, well-organized written reports.
  • Create professional PowerPoint presentations according to the Commercial Director’s direction.
  • Learn new processes and try different research or problem-solving strategies when the first approach does not work.

You will communicate directly with clients for basic scheduling matters, subject to the Commercial Director’s approval. The role does not initially require independently writing complex commercial correspondence.

REQUIRED QUALIFICATIONS

  • University degree.
  • Demonstrated executive-assistance experience.
  • Demonstrated experience in architecture, interior design, construction, furniture, architectural materials, or a related industry.
  • Excellent spoken and written English.
  • Proficiency with PowerPoint, Word, Excel, Microsoft Teams, and Outlook.
  • Practical experience using ChatGPT for research and work-related tasks.
  • Ability to learn and work with different C4C/CRM systems.
  • Ability to maintain clear and accurate records of meetings, follow-ups, and business-development progress.
  • Strong reliability, initiative, curiosity, and willingness to learn.
  • Openness to detailed feedback and trying different approaches to solve problems.

STRONGLY PREFERRED, BUT NOT REQUIRED

  • A university degree in architecture, interior design, construction, engineering, or a related discipline.
  • Some understanding of the Korean language.
  • AutoCAD, 3D-modeling, or architectural-visualization experience.
  • Experience researching the Korean architecture, interior-design, construction, materials, or furniture market.

HOME-OFFICE REQUIREMENTS

Applicants must initially have:

  • A reliable computer; an Apple computer is preferred but not required.
  • Fast and dependable internet suitable for daily ChatGPT use and video meetings.
  • A functioning webcam and headset.
  • A quiet, professional home workspace.

ECLAT HOLDINGS may provide company equipment after the first six months, depending on business needs and the working arrangement at that time.

COMPENSATION AND ENGAGEMENT TERMS

  • Fixed compensation of ₱90,000 every two weeks.
  • 26 payments / ₱2,340,000 annually.
  • The stated compensation is fixed during the initial hiring process. Please apply only if you accept it; salary negotiations will not take place during initial hiring.
  • Payment will be processed through the payment arrangement used by OnlineJobs.ph.
  • This is an independent-contractor engagement.
  • Paid Philippine public holidays, vacation leave, sick leave, health coverage, and 13th-month pay are not included.
  • Full compensation applies from the first day; there is no reduced introductory rate.
