About the role
We are a creative agency that produces static ads for e‑commerce brands running Meta ad spend.
You will own every step between “a client assigns us a task” and “the finished ad is in the client’s hands.” You will not design the ads or write the copy. Your responsibility is to ensure the right work reaches the right designer, returns correctly, and ships on time, every time.
We promise clients 48 hours on a new task and 24 hours on a revision. Your job is to keep that promise.

What you will own
- Intake – Monitor every place clients assign work (ClickUp, Notion, Airtable, Slack, email ). No request sits unnoticed for more than 4 business hours.
- Brief capture – Copy each client brief into our standard Notion card, word for word, including every reference image. Never paraphrase or summarize.
- Verification – Before a card is sent out:
- Check prices against the live price sheet.
- Attach the correct product file.
- Verify banned words are excluded.
- Apply past client corrections.
- Dispatch – Assign cards to designers, balance the load across the team, and chase any item that has not moved in 12 hours.
- Quality check – Review every finished ad to ensure:
- Correct product is used.
- Approved copy is pasted (not retyped).
- Safe zones are correct for each size.
- Export settings and file naming are accurate.
- Delivery – Post finished ads to the client on their platform, in our voice, and log the delivery.
- Revisions – Capture client feedback word for word, set the deadline, and route it back to a designer within 24 hours.
- Reporting – Send one short status message to the founder each morning; provide weekly numbers.
- SOPs – If a question is asked twice, write it into the SOP.

- You do not design. If a designer is unavailable, you reassign; you do not open Figma to fix it.
- You do not handle pricing, scope, or strategy conversations with clients.

What we need from you
- 2 + years in project coordination, production management, or creative operations (agency experience preferred; paid social or e‑commerce strongly preferred).
- Notion at a power‑user level: you have personally run a board with real statuses, relations, and filtered views, the core of the job.
- Working knowledge of ClickUp and Airtable: you can open a client’s board, find the task, and read the brief without breaking anything.
- Excellent written English: your messages go to clients under our name.
- Obsessive attention to detail: noticing a $3 price discrepancy or an outdated bottle label is essential. If detail work drains you, please do not apply.
- Ability to follow a written process exactly; when something is unclear, ask one short question, never guess.
- Comfort with AI tools and willingness to learn ours; we run Claude inside our workflow daily, and you will use it.
#### Nice to have
- Enough Figma or Canva experience to judge safe zones and export settings.
- Experience onboarding freelancers or managing a small remote team.
- Experience working to a service‑level agreement and understanding the pressure of a running clock.
