About the Role

We are looking for a highly experienced, hands-on QuickBooks Online Bookkeeper who can do more than record transactions and reconcile accounts.

We need someone who has personally established or improved bookkeeping systems, created clear accounting procedures, and taught business owners or internal teams how to follow them.

This is not an entry-level role. We do not want to teach the selected candidate how to organize our bookkeeping. We need someone who can review our current setup, identify inefficiencies, recommend improvements, and guide us in using QuickBooks correctly.

The role will begin with one U.S.-based company whose books are currently updated and have a relatively light workload. Based on performance, the selected candidate may gradually manage the QuickBooks accounts of up to five related companies within the agreed working hours.

Initial Schedule

Part-time: 20 hours per week
Four hours per day, Monday through Friday
The four-hour shift must fall between 10:00 a.m. and 6:00 p.m. U.S. Eastern Time
The exact shift will be agreed upon before hiring
Potential to transition into a full-time role if business needs and performance support it

Core Responsibilities

Review the existing QuickBooks Online setup and condition of the books
Identify accounting errors, workflow gaps, duplicate work, and inefficiencies
Recommend and implement a more organized bookkeeping system
Record and properly categorize financial transactions
Reconcile bank accounts, credit cards, loans, payment processors, and other balance-sheet accounts
Manage accounts payable and accounts receivable
Create and monitor invoices, bills, purchase orders, and payments
Review the chart of accounts and recommend necessary corrections
Prepare routine and adjusting journal entries with proper supporting documentation
Complete month-end closing procedures
Prepare accurate Profit and Loss, Balance Sheet, Cash Flow, AP, and AR reports
Investigate discrepancies instead of making unsupported adjustments
Review financial reports for unusual balances, trends, or potential errors
Maintain organized supporting documents and accounting records
Establish weekly and monthly bookkeeping workflows
Create clear bookkeeping checklists and SOPs
Teach management and team members what documents and information must be submitted, when they are due, and how they should be organized
Communicate issues, risks, and recommendations clearly and proactively
Gradually manage multiple company files while maintaining separate and accurate records for each entity

Required Qualifications

At least five years of professional bookkeeping or accounting experience
At least four years of substantial, hands-on QuickBooks Online experience
Advanced knowledge of QuickBooks Online—not merely data entry
Experience managing the complete bookkeeping cycle independently
Proven experience setting up, cleaning up, or significantly improving a QuickBooks system
Experience creating charts of accounts, workflows, checklists, or bookkeeping SOPs
Experience handling multiple companies or client accounts
Strong knowledge of bank and credit-card reconciliation, AP/AR, month-end close, journal entries, and financial statements
Ability to explain accounting processes clearly to non-accountants
Strong written and verbal communication
Organized and concise thinking
Strong attention to detail and ability to follow written instructions exactly
Comfortable identifying problems and recommending solutions without waiting to be told what to do
Experience supporting U.S.-based businesses
Reliable availability during the required U.S. Eastern Time window

Preferred Qualifications

QuickBooks Online ProAdvisor certification
Accounting degree or recognized professional accounting qualification
Experience with food, restaurant, retail, wholesale, manufacturing, or inventory-based companies
Experience handling intercompany transactions or several related entities
Experience preparing books and supporting schedules for an external CPA or tax preparer

This Role Is Not Suitable for Someone Who:

Only performs transaction entry and basic bank reconciliation
Requires the client to design the bookkeeping process
Has never personally established or improved an accounting workflow
Cannot clearly explain the reasoning behind an accounting treatment
Makes adjustments simply to force accounts to balance
Cannot work independently
Frequently misses written instructions or required application details
Is unable to communicate technical information in a clear and organized manner

Compensation

Please propose a fixed monthly rate for 20 hours per week.

The workload is expected to be relatively light initially because the first company’s books are already updated. Additional companies may be assigned gradually, provided the work can be completed accurately within the agreed 20 hours per week.
