About La Vie Studios Media
La Vie Studios Media is a South Florida-based creative production and marketing company helping businesses build their brands through strategic photography, video content, social media, and paid advertising.
We manage the entire creative process for our clients, from strategy and scripting through production, editing, approval, publishing, and advertising.
As we continue to grow, we’re looking for a highly organized, proactive, and detail-oriented Creative Project Manager who can become the central point of communication and accountability connecting our clients with our creative, production, post-production, social media, and advertising teams.
If you love organization, creative production, deadlines, quality control, and making complicated workflows run smoothly, this role may be a great fit.
About the Role
This is a detail-heavy operations and project management role inside a fast-moving creative company.
You will help manage projects throughout their entire lifecycle:
Creative Development → Client Approval → Production Coordination → Post-Production → Quality Control → Client Revisions → Final Approval → Social Media & Advertising
You’ll work closely with our Creative Director, clients, photographers, videographers, editors, Social Media Manager, Media Buyer, and company leadership to make sure everyone has what they need and every project remains organized, on-brand, and on schedule.
This is not simply an administrative or task-tracking position.
We’re looking for someone who can take genuine ownership of projects, anticipate problems, communicate clearly, maintain accountability, and help keep our entire production pipeline moving.
Responsibilities
Pre-Production & Client Approval
- Receive concepts, scripts, and creative direction from our Creative Director.
- Review scripts and production documents for accuracy, completeness, feasibility, and quality.
- Identify missing information or potential production issues before materials reach the client or production team.
- Send scripts and concepts to clients for approval.
- Collect, organize, and communicate client feedback.
- Coordinate revisions with our creative team.
- Confirm final approvals before production.
- Ensure all necessary client assets, brand guidelines, creative references, scripts, shot lists, and expectations are organized before production.
Production Coordination
Although this position is fully remote, you’ll coordinate the planning and preparation behind our productions.
- Coordinate production dates with clients and our creative teams.
- Schedule and contract photographers, videographers, and other necessary production personnel.
- Prepare production teams with scripts, shot lists, creative references, timelines, client information, and other necessary assets.
- Make sure everyone understands the creative direction, priorities, deliverables, and expectations before production begins.
- Proactively identify scheduling conflicts, missing information, or other potential blockers.
Your goal is to make sure our creative teams arrive at every production fully prepared to execute.
File & Post-Production Management
- Manage incoming photo, video, audio, and other digital assets.
- Maintain clean and consistent folder structures and file-naming systems.
- Ensure assets are properly backed up, organized, labeled, and easy to locate.
- Organize footage and assets according to scripts, shot lists, projects, and deliverables.
- Prepare and transfer organized assets, scripts, creative references, and editing instructions to our post-production team.
- Assign and communicate editing priorities.
- Track projects throughout the editing process.
- Update project statuses and task-management systems.
- Monitor deadlines and proactively follow up with editors and team members.
- Manage revision cycles through final approval.
Nothing should disappear into a folder, miss a deadline, or remain unfinished because someone forgot to follow up.
Quality Control
Quality control is one of the most important responsibilities of this position.
You’ll review edited photos and videos before they are presented to our clients.
You should be comfortable reviewing creative work with an editor’s eye, not simply checking whether a task has been marked complete.
You’ll look for:
- Spelling and grammatical errors
- Caption or subtitle mistakes
- Incorrect logos, fonts, colors, or branding
- Missing calls to action
- Incorrect or poorly selected B-roll
- Missing shots or assets
- Pacing and flow issues
- Failure to follow the approved script
- Failure to follow creative references
- Incorrect aspect ratios or formatting
- Text outside appropriate safe zones
- Technical or export issues
- Missing deliverables
- Client revision notes that were not properly implemented
- Inconsistencies between different pieces of content
You’ll then communicate clear, actionable, and when appropriate, timestamped revision notes to our editing team.
You do not need to be our primary editor, but you must understand professional editing workflows and recognize what polished, client-ready content should look like.
Client Communication & Delivery
You’ll serve as one of the primary digital liaisons between La Vie Studios and our clients.
Responsibilities include:
- Communicating project updates professionally and clearly.
- Sending creative materials for client review and approval.
- Delivering completed content for review.
- Collecting and organizing client feedback.
- Translating feedback into clear instructions for our creative team.
- Managing revisions through final approval.
- Communicating blockers or delays early.
- Making sure clients understand where their projects stand without needing to chase us for updates.
Because this is a client-facing position, excellent written and spoken English is required.
Social Media & Advertising Coordination
Once content has been approved:
- Coordinate approved assets with our Social Media Manager.
- Make sure posting schedules, captions, assets, and approvals are clearly organized.
- Communicate available and approved advertising assets to our Media Buyer.
- Maintain continuity between production, organic social media, and paid advertising.
- Help ensure approved content moves efficiently from creation into distribution.
The Project Manager may initially assist with some basic media-buying responsibilities as well.
Experience is a plus, but we have systems, resources, and training available to help the right candidate learn this portion of the workflow.
Must-Haves
- Excellent written and spoken English
- Exceptional organizational skills
- Strong attention to detail
- Experience managing multiple projects and deadlines simultaneously
- Experience with project-management platforms such as Google Business Suite and/or CRM's
- Strong digital file-management skills
- Understanding of video editing and post-production workflows
- Experience reviewing creative work for quality control
- Ability to communicate clear revision notes to editors
- Strong professional communication skills
- Ability to work independently in a remote environment
- Deadline-driven and accountable
- Comfortable communicating directly with clients
- Proactive rather than reactive
- Able to identify problems before they become emergencies
- Comfortable holding team members accountable to deadlines and expectations
We’re not looking for someone who simply waits for a list of tasks every morning.
We want someone who naturally asks:
“What needs to happen next? Who is responsible for it? When is it due? And what could prevent us from getting there?”
Preferred Experience
Strong preference will be given to candidates with experience in:
- Creative or marketing agencies
- Video production companies
- Photography or content-production teams
- Managing video editors or creative teams
- Short-form content such as Instagram Reels, TikTok, and YouTube Shorts

Please Do Not Apply If:

- You have no understanding of video editing or post-production workflows.
- You’re uncomfortable reviewing creative work critically.
- Your written or spoken English is not strong enough for professional client communication.
- You struggle to manage multiple deadlines simultaneously.
- You need constant supervision to complete your responsibilities.
- You wait until deadlines are missed before communicating problems.
- You’re uncomfortable holding editors or other team members accountable.
