Tech, Admin, Client Experience, Community & Social Media Support
Part-Time | 5–15 hours/week (average 10 hours)
Hey there ???? We’re looking for a proactive, experienced Virtual Assistant to support our growing business with social media, lead generation, community engagement, and admin support. You’ll be joining a small, purpose-driven team (just 2 of us right now) and playing an important role in helping the business run smoothly behind the scenes. From scheduling content and engaging with our audience to supporting launches and keeping our systems updated, you’ll help create more ease, consistency, and ---------- ntum in the business.
This role is ideal for someone who loves bringing structure to moving parts, enjoys online community-building, and feels excited about supporting a business that helps entrepreneurs step into high-end leadership and aligned success.
If you’ve supported coaches before, love clear instructions and SOPs, and also enjoy spotting ways to improve how things are done — we’d love to hear from you ????
What Success Looks Like in This Role:
Inbox is managed, client tech + admin questions are solved
content is scheduled and published consistently
our audience feels seen, welcomed, and engaged
leads are tracked accurately and followed up efficiently
backend tasks are handled reliably and proactively
launches feel supported and less stressful (building the sales page, connected with active campaign, testing the funnel)
systems and processes become clearer and more streamlined over time
A great day in this role might sound like:
“Today I set up the backend for a new workshop as part of the launch process.”
“I welcomed new members into the community, responded to comments and messages, and added new leads into the CRM.”
“I managed the inbox, followed up on client requests, and made sure everything was responded to clearly and on time.”
“I updated client learning dashboards, uploaded replays, and made sure clients had what they needed.”
“I spotted a better way to handle a recurring task, updated the SOP, and made the process clearer and faster for the team.”
What You’ll Be Responsible For
Admin support: post scheduling, inbox/email management, platform updates, client support, and day-to-day tech/admin tasks
Process optimization: creating SOPs and improving existing workflows
Launch support: helping with quick-turnaround tasks during launch periods
Podcast management: editing episodes, scheduling releases, posting promo content, and updating guests
Social media & community support: posting content, engaging in comments/messages, and welcoming new members
Project support: supporting special projects based on your strengths and skills
This Role Is Perfect For You If You:
- have warm, confident English communication skills, both written and spoken
- naturally bring positive, grounded energy to your work
- are organized, reliable, and strong with time management
- have previous experience supporting coaches or online businesses as a VA
- enjoy social media, community engagement, and relationship-building
- are great at following instructions while also being resourceful and solution-oriented
- like improving systems and documenting processes as you go
- feel excited to be part of a growing business with a long-term vision
- can work 5–15 hours per week , spread across 5 days
- are sometimes available for light weekend support during launches
- are available during 9:00–18:00 Lisbon time
Your Tech Toolkit Should Include/You should have Experience with:
MUST: Instagram, Facebook , ActiveCampaign, Canva, WordPress, Descript/Podcast Editing, AI tools like ChatGPT, Claude
NICE: Slack, ThriveCart, ClickUp, video editing tools like CapCut, ManyChat
- Some tools might be similar to what you’re using now. We have many SOPs and even though it’s great if you already use these tools, if you’re a fast learner and the perfect fit for the role it can still work out.
Hours, Pay & Growth
Part-time: 5–15 hours per week (10 on average)
Compensation: starting from $5–$12/hour, depending on experience, skill set, and level of independence
We’re open to growth in hours and compensation over time for the right person
This is a long-term role with room to grow as the business expands
