U.S.-based custom millwork / architectural woodworking shop (Massachusetts). We design, estimate, and build custom woodwork for residential and commercial projects. The owner runs operations and needs a reliable remote assistant to keep jobs, hours, materials, drawings, estimates, and processes organized so the shop can stay focused on production.
This is a long-term role for someone who likes structure, details, and learning a real trade business—not a generic inbox-only VA job.
What you will do
Job tracking & operations
Track jobs, labor hours, and materials in QuickBooks Workforce (and related QuickBooks tools)
Keep job files current: status, hours, materials used, open items
Help maintain simple job costing and progress tracking
Estimating
Prepare and update millwork estimates using the owner’s existing system and templates
Organize takeoffs, material lists, and pricing support
Flag missing info before an estimate goes out
AutoCAD & shop drawings
Assist with AutoCAD shop drawings, revisions, and drawing organization
Clean up markups, update details, and keep drawing sets consistent
Prepare drawing packages for shop / field use (as directed)
Email & communication support
Read incoming email and surface only important / time-sensitive items
Draft short, professional replies when asked
Keep the owner from having to dig through routine mail
SOPs & company systems
Help write and organize Standard Operating Procedures
Turn existing processes into clear, usable documents
Keep SOP files consistent and easy to update
Company app / operations system
Assist with the custom operations app the owner has started
Help document how the business actually works, organize requirements, test features, and keep notes/tasks in order
You do not need to be a full-time developer; organization, documentation, and light technical help matter more
Must-have skills
Strong written English
Highly organized and detail-oriented
Comfortable learning the owner’s systems instead of inventing your own
Experience with at least two of the following:
QuickBooks (Workforce / Time / Online preferred)
AutoCAD (shop drawings, revisions, file organization)
Construction / millwork / cabinetry / architectural woodwork estimating or project admin
Reliable computer, internet, and ability to work overlapping U.S. Eastern Time hours when needed
Nice to have
Millwork, cabinetry, or architectural woodworking background
Experience reading shop drawings and material lists
Google Workspace / Excel / Sheets
Experience writing SOPs or process docs
Light experience with app specs, Notion, ClickUp, or similar
Previous work with a U.S. contractor or shop
